Job Description

Overall Position Purpose

The Volunteer Engagement Specialist position exists to work collaboratively across the organization ensuring goals are met through effective volunteer engagement, coordination of activities, and fostering a culture of appreciation and recognition. This position executes strategies to recruit, onboard, and retain a diverse volunteer population, ensuring their integration aligns seamlessly with the Inteleos mission and operations. Additionally, this position manages volunteer-related communications and data, while innovating and implementing volunteer appreciation and engagement initiatives to ensure a rewarding and impactful experience for all volunteers. The Volunteer Engagement Specialist will promote and support the Inteleos culture of inclusivity.

Core Responsibilities

  • Collaborate with the Marketing department to develop and implement a social media strategy to ensure maximum publicity of volunteer opportunities for recruitment and engagement;
  • Coordinate with the Volunteer Engagement Program Manager to effectively publicize and organize item writing opportunities;
  • Assist in developing and implementing onboarding, training, engagement, and other volunteer programs and activities;
  • Ensure accurate management and maintenance of volunteer database;
  • Ensure timely responses and effective communication by managing the Volunteer Engagement inbox;
  • Upload all CME waivers for the testing department;
  • Collaborate with the Assessment division to accurately track volunteer activities and hours;
  • Lead consistent communication with staff and volunteers, provide updates on item writing and mentoring, and identify high-quality volunteers for advanced roles;
  • Develop and oversee Volunteer Appreciation Month recognition activities and other volunteer appreciation and engagement initiatives;
  • Design and manage an effective intake process for new volunteers;
  • Develop and maintain policies and procedures for the volunteer engagement program;
  • Participate in Inteleos volunteer related events; and
  • Maintain and adhere to processes/procedures required by ANSI for organizational accreditation.

Supervisory Environment

  • Works under general supervision with broadly defined work objectives.
  • Makes decisions of some complexity regarding work design, projects, etc. which regularly impact the next organizational layer and may impact an organizational function.
  • Work projects and products are subject to management review for content, quality, and appropriateness.
  • Incumbent generally has no formal supervisory responsibility, though they may provide regular work direction to other employees and volunteers.

Work Environment

The incumbent will work at a desk in an office environment. Evening and weekend work, and some travel may be required. There are minimal requirements to lift or move equipment.


Required Education/Experience

  • Bachelor’s Degree, Certification or equivalent in a related field;
  • Minimum of two years’ experience in an office environment; and
  • Experience working with volunteers preferred.

  • Highly motivated and service oriented with the ability to work effectively both independently and in a team environment;
  • Ability to prioritize and effectively manage multiple assignments and timelines;
  • Strong attention to detail, excellent organizational skills, and adept in problem-solving;
  • Ability to learn and utilize new software and systems;
  • Ability to inspire and motivate volunteers;
  • Adept at presenting complicated ideas in an easily understood manner;
  • Strong foundational skills in public speaking and facilitation;
  • Outstanding interpersonal skills, enabling effective, efficient, and professional interaction with individuals at all organizational levels, volunteers, and external contacts;
  • Proven ability to build and maintain positive relationships with a diverse range of staff, volunteers and external contacts;
  • Demonstrated skill in writing concise, logical, and grammatically correct letters and reports;
  • Ability to maintain positive attitude under stressful conditions;
  • Strong collaboration and communications skills; and
  • Intermediate proficiency using computers in a Microsoft office environment.
