Growing Import/Export company in Pomona, CA., has an immediate opening for an HR/Administrative Assistant with 3+ years’ experience working in a fast-paced demanding & changing work environment, who can fluctuate between administrative duties for Sr. management and also perform fundamental HR duties. Must have excellent communication (oral & written skills) and the ability to maintain a high level of confidentiality in the performance of job duties. Great opportunity for the right person. Administrative Duties Include:
§ Professionally answering front-office phone, routing calls to appropriate parties, taking messages & placing outgoing calls on behalf of Sr. management.
§ Organizing/prioritizing daily workload, scheduling meetings & appointments on behalf of Sr. management.
§ Preparing memos, reports, emails, correspondence, special projects, statistical and budgetary reports, and research data for Sr. management utilizing MS Word, PwrPt, Excel, Outlook, Adobe, and other Internet Resources (typing requirements: 60 wpm).
§ Providing accurate/concise information (verbally, via email and in writing) to management, internal departments, customers, and outside parties doing business with the company.
§ Makes travel arrangements, hotel/transportation accommodations and keeps participating parties up to date with travel plans/itinerary.
§ Acts in the capacity of custodian and maintains a high level of confidentiality of sensitive Sr. management related confidential records, files, and reports.
Human Resources Duties Include:
§ Working closely with the HR Consultant handling of day-to-day HR activity, employee-related issues/concerns, new hire orientations, leave-of-absence requests, and employee-relation matters.
§ Preparing HR forms for review by HR Consultant and approval by Sr. Management.
§ Interacting with temp-agencies via email, by phone, and text messages to ensure proper warehouse staffing levels are met. Communicating with department managers/supervisors regarding temp-agency job placements, performance and attendance issues, in/out timekeeping accuracy & weekly temp-agency payroll submission.
§ Monitoring employee timekeeping entries for submission to payroll for bi-weekly payroll processing.
§ Assisting HR Consultant with administration of company policies & work rules, I-9 compliance & workers’ compensation, as well as overseeing annual employee performance evaluation system & assisting with employee benefit programs.
§ Coordinating employee training sessions and one-on-one employee meetings, assisting with HR special projects, and compiling/updating HR files and records.
§ Conducting new hire orientation (on-boarding meetings), including preparation of new hire packages, candidate pre-employment drug/alcohol prescreening process & candidate background checks.
