The Inn at Perry Cabin is seeking a passionate, enthusiastic, and dedicated Administrative Assistant – Executive Office who has a profound interest in hospitality, a strong desire to build industry knowledge, and a drive to meet the highest standards in our profession.

The Administrative Assistant for the General Manager and Resort Manager assists with any tasks necessary to help the property operations run smoothly. Tasks include office and administrative functions, greeting and assisting guests over the phone, email or in person, attending meetings and facilitating communication between various departments and supporting other resort Executive leaders as needed, partnering as an extension of the team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following. Other duties may be assigned.

  • Provide support to the General Manager and Resort Manager of the 78-room luxury resort with food and beverage outlets, activities, and Links golf.
  • Serves as liaison between GM/Resort Manager and all hotel departments, guests, clients, and ownership.
  • Office administration includes some minor accounting functions, ordering office supplies, scheduling in-house meetings as directed, answering and managing incoming calls.
  • Assists with PowerPoint and keynote presentations, communications, presentations, documents.
  • Responsible for weekly guest welcome letters and guest amenities.
  • Responsible guest lost and found shipping, assisting with certain inventory duties and front office supplies.
  • Responds to guest feedback in a professional and guest service focused manner.
  • Assists with business travel arrangements for Executive leaders and ownership, assists with special guest travel arrangements, seasonal workers.
  • Attend daily morning meetings and provide any relevant updates on behalf of the General Manager and/or Resort Manager.
  • Liaise with other resort administrative support/coordinators/Managers for tasks such as welcome amenities, welcome notes and VIP arrangements.
  • Regular correspondence with clients on behalf of the General Manager/Resort Manager as directed.
  • Responsible for maintaining and creating internal reporting using Delphi, Excel, and other programs as needed.
  • Assist service managers with greeting clients, checking event and meeting setups, creating custom menus and collateral for groups.

JOB REQUIREMENTS

Education & Experience

  • At least 2 years’ previous experience working in a similar position providing professional office support.
  • Knowledge of standard office administrative practices and procedures.
  • Highly proficient in MS Office Suite, particularly in advanced Excel applications.
  • Ability to multitask and thrive in a fast and ever-changing environment.
  • Must be able to effectively communicate in a luxury environment with full proficiency in English: excellent written and verbal communication skills with meticulous detail orientation.
  • Must be approachable, collaborative and have a willingness to learn.

PREFERRED QUALIFICATIONS

  • Previous experience working in a team a plus.
  • College degree preferred, but not required.
  • Previous experience in full-service hotels.
  • Knowledge of Opera, Delphi, Resort.
