Reports To: Director of Preconstruction 

Summary – The Preconstruction Lead position exists to bring clarity to costing in the design process, identify risk and provide a sub-contractor bid package to the construction team. This position will work closely with Client Relations, Design, Architecture and Engineering Leads and the Construction team assigned to the same projects. The primary focus of the Preconstruction Lead role is to exercise diligence (and closely monitor) the following key tenets of Preconstruction: upholding the standard of pricing sets as a tool, ensure correlation between existing building conditions to accurate costing, and protection of gross profit – primarily through buyout of project.

Essential Job Functions

Part I: Overview of General Responsibilities:

  • Review plans and architectural drawings - prepare quantity take-offs on assigned projects.
  • Ensure a complete review of plans and drawings to ensure appropriate accounting in overall estimate package.
  • Develop and maintain effective working relationships with existing and new subcontractors.
  • Obtain 3-5 bids for each trade and supplier group.
  • Review and analyze bids for conformance to project specifications, price, material quality, insurance, wages, and related items. Discuss and resolve any questions with subcontractors.
  • Follow approved estimating practices – ensure most complete estimates and that financial objectives are met.
  • Maintain current information on trends in and changes to existing construction codes.
  • Utilize appropriate software programs to calculate, record and track estimates.
  • Attend client meetings, answer questions, and resolve issues regarding pricing and estimates. Ensure client satisfaction.
  • Perform change order pricing, site visits, bid delivery and collaborate with teams on specific bids.
  • Determine material and labor requirements and prepare itemized lists. Compute cost factors and prepare estimates used for planning, organizing, and scheduling work; preparing bids; selecting vendors or subcontractors; and determining cost effectiveness.
  • Conduct special studies to develop and establish standard hour and related cost data or effect cost reductions. Consult with clients, vendors, or other individuals to discuss and formulate estimates and resolve issues. Obtain support and commitment to the cost estimates.
  • Organize and manage a centralized cost estimating database and a formal process to support cost estimating.
  • Analyze completed projects to compare estimated costs to actual costs and determine the reason for any discrepancies. Provide improvement recommendations to cost estimating procedures to reduce future discrepancies between estimated and actual costs. Identify cost trends to assist management in cost reduction and process improvement efforts.

Part II: Chronology of Preconstruction Lead Responsibilities:

  • Inclusion of Preconstruction Lead is dependent on a known project opportunity – it is at this stage that the Precon Team is introduced and begins scope of work.
  • Initial call by Preconstruction Lead is initiated with Building/Facilities to identify availability of existing plans, MEP information, and building rules and requirements.
  • Initial site visit to Building by Preconstruction Lead to develop the following:
    • Due Diligence Report
    • Photos
    • Request for any known preferred or past Building vendors
  • Travel to Site Visits is expected, as often as weekly depending on project pipeline.  Travel and lodging expenses provided by Infinity Group, with baseline approvals by Preconstruction Director.
  • Preconstruction Lead to call post meeting IBM with Design & Client Relations.
  • Preconstruction Lead to meet with Design for base level information to build base quote.  If no budget is set by client, Design is free to design without limitations from Preconstruction.  If design is set, it shall be a coordinated effort.
  • Preconstruction Lead to run base ROM numbers from pricing set for review and approval by Director of Preconstruction.
  • Preconstruction Lead to present ROM numbers to client at first meeting.  ROM numbers will be sourced from initial pricing set quantities and known existing conditions.
  • Following first meeting, pricing set to be updated by Design and sent by Preconstruction Lead to select sub-contractors directly, and schedule subsequent site visits with subs.
  • Preconstruction Lead to begin initial quote review and site walks – calls through to subcontractors to identify potential challenges with scope and risk level.
  • Preconstruction Lead to develop hard cost proposal and milestone schedule from subcontractor walkthroughs, revised pricing, and updated design, for review and approval by Director of Preconstruction.
  • Preconstruction Lead to present hard cost proposal and milestone schedule to client.
  • Revised pricing set to be sent out by Preconstruction Lead to subcontractor base again through BuildingConnected.
  • Preconstruction Lead and Preconstruction Director to review quotes and submittals for final lockaway package.  Target minimum 2 quotes per trade, materials have identified costing and availability.
  • After proposal approval, Preconstruction Lead to present project scope, timeline and planning to A&E and Construction teams.
  • Upon assigning of Project Lead, Preconstruction to schedule handoff/lockaway meeting with CD and PL for handoff.  Meeting is centered around current SOW’s developed by Preconstruction and quote review.

  • Infinity Group Configure Price Quote Platform (CPQ)

Education

  • BS or BA preferred.  Areas of study should include construction, management, engineering or architecture.

Physical Requirements

  • Be able to lift samples and plan sets
  • Must be vaccinated and willing to maintain all CDC guidelines
  • Be able to stand for a long period of time including walking
  • Be able to visit job sites during construction on occasion
