Job Description

We are a full service Digital Agency, based out of our Southern California headquarters. We have been an industry leader for nearly 15 years, with additional office locations in Las Vegas and Minneapolis.

We are searching for an organized self-starter. You will be responsible for managing daily operational activities that primarily assist the operations, finance, hr, and marketing teams.

This position can be remote (Orange County), however may be required to go into our Lake Forest office as needed. This position has a responsibility for office operations so should be readily available to assist at the office as needed.

You will report directly to the President.

You’re someone that is tech savvy, has significant experience in a variety of common softwares (Google suite, Apple OS, Windows, Microsoft Office, Etc) and can ensure smooth and efficient daily operations! You will help keep things running silky smooth!

To be successful in this role, you should possess excellent communication skills and be able to manage multiple projects. Top candidates will have strong organizational, critical thinking, and interpersonal skills. In addition, will be able to demonstrate a working understanding of business operations, and employee administration.


  • Assisting the President and Executive team with operational initiatives.
  • Analyzing all operations and forwarding suggestions for improvement to the Executive team.
  • Establishing and maintaining financial, employee, and client records.
  • Handling front office accounting, including client facing responsibilities such as invoicing (A/R), accounts payable, collecting updated payment information, recording payments received from clients, etc.
  • Assisting with HR functions such as recruitment, new hire and onboarding processes, executing onboarding and offboarding checklists, updating employment records.
  • Opening, sorting and distributing incoming mail (USPS), emails, and other correspondence.
  • Reviewing, editing, filing and retrieving files and documents (99% Digital).
  • Managing company phone systems and calls.
  • Accurately record meeting minutes.
  • Organizing events, scheduling meetings, and making travel arrangements.
  • Taking inventory of our computers/devices and ordering office supplies as needed.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Researching and conducting data to prepare documents for review and presentation by committees or leadership.
  • Providing excellent customer service and maintaining relationships with vendors.
  • Providing assistance to the team when general questions arise.


  • High school diploma or equivalent.
  • Degree in related field preferred.
  • Math or accounting knowledge.
  • Experience in an administrative, clerical, or secretarial role.
  • Previous experience in a similar role.
  • Quickbooks Online (or similar) Experience
  • Experience as a virtual assistant.
  • Ability to organize a daily workload by prioritizing.
  • A proactive approach to problem-solving with strong decision making skills.
  • Professional level written and verbal communication skills.
  • Superb organizational skills.
  • Outstanding interpersonal skills.
  • A willingness to learn.

Compensation & Perks

Starting Pay: Depending on experience

Job Type: Full-time (32 hours per week), Salary

Schedule: to be determined post hire, but flexibility is a requirement
