Reports to the Vice President. We are looking for a competent Business Office Support Specialist to undertake a variety of tasks such as recruitment, orientation, placement of employees and billing. You will also be the one to ensure that the company complies with all relevant laws regarding employment.

The Business Office Support Specialist must be an excellent communicator, able to foster relationships with prospects, employees and clients. Performs duties of answering telephones, making copies, ensures employee and client records are completed and filed properly, day-to-day use of Customer Relationship Management (CRM) system as required to perform client and caregiver management activities. Ensure that the company’s staffing requirements are always met and is responsible for billing and verifying receipts of all claim files submitted.


· High school graduate or equivalent (College degree preferred)

· Knowledge of general office procedures, skilled typist and computer literate

· Experience with VA billing preferred

· Strong people skills capable of working with diverse client and caregiver personalities

· Proven experience as Business Office Support Specialist or similar position

· Knowledge of staffing policies, procedures and best practices

· Outstanding organizational and leadership skills

· Excellent communication and interpersonal abilities

· Adhere to confidentiality


· Oversee all caregiver staffing needs of the company

· Support candidate screening and hiring processes

· Assist in preparation and execution of orientation and training plans

· Develop work schedules by allocating employees in shifts and positions

· Assist with timekeeping and time off requests

· Ensure compliance with internal and external policies and regulations

· Prepare and submit reports on staffing operations

· Assist in answering and responding to activities associated with telephone calls

· Assist with administrative functions while supporting management, marketing and sales team

· Assist with functions associated with identifying caregiver applicants

· Prepare and modify documents (correspondence, reports, drafts, memos, emails)

· Assist in scheduling and coordinating interviews, meetings and appointments

· Assist in pre and post interview process for caregivers

· Maintains office filing systems, files all documents appropriately & in a timely manner

· Responsible for copying documents as requested

· Maintains confidentiality regarding prospects, client, employee and contractor records

· Identifies and informs Supervisor of discrepant files for compliance and completeness

· Maintains database and performs other duties as assigned

· Travel to and from associated business functions and client visits as required

· Demonstrable social networking and social media experience

· Adhere to time sensitive deadlines
