Business Development Coordinator

Reports to: Regional Manager

FLSA Status: Non-Exempt

Position Summary

The Business Development Coordinator supports the Sales and Preconstruction Department and staff under the guidance of the Regional Manager with general office responsibilities, obtaining bid documents, tracking sales goals, marketing, preparing bid proposals, coordinating trade shows, business development, etc. This is a fast-paced work environment requiring strong communication skills.

Duties & Responsibilities

  • Prepare proposals for Business Development team
  • Prepare prequalification documents and GC subcontractor information forms for Business Development team
  • Prepare Bid Forms
  • Deliver bids and record bid results
  • Attend Pre-Bid Meetings/Job Walks (Very Seldom)
  • Maintain Project Tracking List (PTL), assist Sales with write-up entries
  • Coordinate mass mailings and e-blast lists
  • Manage pre-bid documents (contract documents, plans and specs)
  • Download plans & specs. OCR, batch-link and bookmark (with Bluebeam software)
  • Attend networking events and tradeshows as needed
  • Coordination of industry award entries
  • Work with Business Development to create and implement marketing strategies
  • Help Business Development prepare for customer presentations
  • Assist in development of yearly marketing budget
  • Internal event coordination
  • Update the Kewaunee Future Order Forecast Report monthly
  • Assist with large meeting coordination and set-up
  • Order and maintain all product literature and samples in the literature library & sample room.
  • Coordinate regional marketing materials, advertisements, SWAG, etc. with Marketing Director
  • Maintain and update the Deltek Marketing Program
  • Process order entries
  • Prepare the quarterly division review PowerPoint
  • Coordinate and prepare bi-annual internal regional newsletter
  • Assist sales with PowerPoint presentations for sales, owners, and architects
  • Telephone and email contact for general inquires from ISEC and Kewaunee websites
  • Participate in weekly Sales & Estimating meetings
  • Answer phones at front desk when required
  • Assist with ordering/catering of local office lunches, etc.
  • Maintain for the region

Preferred Qualifications (in addition to minimum qualifications)

  • Bachelor's degree in marketing or Communications
  • 2 years' experience as Administrative Assistant for Sales or Marketing

Minimum Qualifications

  • Bachelor's degree in a relevant field or an equivalent combination of education and experience
  • High School diploma with at least 2 years experience in an administrative role

  • Good written and verbal communication skills
  • Good organizational and time management skills
  • Good computer skills
    • Knowledge of Microsoft Office
    • Knowledge of Bluebeam
  • Able to prioritize and multi-task
  • Able to work in fast-paced, environment dealing with multiple personalities and changing needs
  • Detailed oriented
  • Effective in meeting deadlines and problem solving
  • Must be self-motivated with the ability to work independently as well as in a team environment with multiple regional team members
