Job Description

Summary:  The Accounts Receivable Clerk is responsible for preparing and sending customer invoicing for all sales orders. The duties of the Accounts Receivable Clerk include efficiently managing customer account information, and ensuring accuracy of invoicing in all company locations. The Accounts Receivable Clerk also makes sure that customers receive the correct invoices and statements, as well as resending any missing invoicing and statements to facilitate customer payments.

Responsibilities:

  • Process day to day invoicing for New Jersey billing, including verifying, updating, correcting, posting and recording accounts receivables’ data.
  • Process branch billing transfers sent to corporate via email.
  • Proofread branch invoices against shipping paperwork.
  • Verify discrepancies and resolve customers billing issues, either directly or through branch sales employees.
  • Mail and email invoices to customers.
  • Process credits for material returns or pricing errors.
  • Facilitate payment of invoices due by working with the collections department to send bill reminders and contacting customers.
  • Generate month end customer statements.
  • Enter new accounts into the system after they are approved and update customer information and emails in the ERP system.
  • Respond to customer and branch phone calls and emails.
  • Keep record of tax exempt certificates.
  • Distribute any branch mail to correct department.
  • Protects organization's value by keeping information confidential.
  • Files, organizes, and maintains customer accounts receivable files.
  • Utilizes computerized accounting software programs (Distribution One, Excel, Word) to perform duties and responsibilities.
  • Performs other clerical duties as needed.

 Requirements:

  • Proven working experience of 3-4 years in accounts receivable a must.
  • Hands-on experience in accounts receivable side of ERP software.
  • Microsoft Office proficiency required. Experience with spreadsheets and automated accounting systems required.
  • Data entry skills along with a knack for numbers.
  • Ability to multi-task, prioritize and work efficiently.
  • Ability to listen, communicate (written and verbal), and follow-up effectively with all staffing levels and customers.
  • Ability to work independently and bring tasks to completion.
  • Ability to consistently demonstrate a pleasant demeanor, good common sense and sound judgment.
  • Ability to adapt to new procedures and tasks as needed by management.

 Education:

  • High School Diploma or GED equivalent required, college level Accounting classes or Accounting Degree preferred.
