POSITION PURPOSE:

Support the company’s mission by maintaining effective administration of front office/reception areas as well as providing clerical support to all ICMB and ICM Technology Development Departments. 

 

ESSENTIAL FUNCTIONS AND BASIC DUTIES: 

  1. Answer multi line telephone and direct the caller to the appropriate associate. Maintain current internal phone directory. 
  2. Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.    
  3. Answer the door, greet and provide directions to ICMB & ICM TD visitors. Offer refreshments when appropriate. 
  4. Greet applicants and coordinate application paperwork for new hires with human resources. Provide necessary on-boarding assistance to all new employees. Serve as first point of contact for benefit and other non-performance related human resources questions. 
  5. Receive, sort and forward all incoming USPS mail and faxes daily.  Manage postage meter and process all USPS mail.  
  6. Maintain print, copy and mail areas to ensure they are properly stocked.   
  7. Maintain printer cartridge inventory for all  ICMB copiers and printers. Notify appropriate accounting personnel when re-orders are needed. Call for copier maintenance as needed.  
  8. Assist in the organizing, receiving, stocking and management of office supplies inventory. 
  9. Plan, order and coordinate meals for scheduled meetings and semi-annual plant shutdowns. 
  10. Stock and maintain conference room refrigerator with beverages for guests. 
  11. Provide scanning, copying, mailing, and filing support to the accounting department as needed. 
  12. Provide administrative support to all departments for the purpose of assisting with miscellaneous transactional duties.  
  13. Assist in the planning and coordination of company sponsored events.   
  14. Daily – complete a master report for campus security;  post updated conference room schedule. 
  15. Maintain and promote use of ICMB Calendar on SharePoint. (Reference point for planned visitors, meetings, shutdowns, etc.) 
  16. Other duties as assigned.

 

Education/Certification:  

  • High School Diploma or equivalent required                                           
  • Notary Public preferred

                                                

Required Knowledge & Experience:                       

  • 1-3 years receptionist/front desk experience required
  • Switchboard experience required
  • UPS and USPS postage machine experience preferred
  • Card Scan software and equipment knowledge preferred
  • Strong knowledge of Microsoft Office Suite required
  • Knowledge of general office and conference room equipment required
  • Sound business math skills required
