Summary

The Sales and Marketing Coordinator is primarily responsible for Group Reservations and Group Servicing; the administrative functions of the sales and marketing department and other duties as assigned. This part time position will work approximately 15-16 hours/week.


Essential Functions and Expectations

  • Coordinates and follows-up on all signed/contracted Group business.

    • Create Group Account in Opera, adding appropriate inventory, rates, amenity fee, porterage, commission, meeting rooms, cutoff, payment, F&B, etc…

    • Create booking link in SynXis and communicate booking instructions and deposit/cancellation policies to Group Planner.

    • Ensures rooming list is received before due date and follows up with the group planner as necessary. Enters rooming list when receved, before the cutoff date. Add group numbers, ETA/ETD, porterage pickup, etc…that had not been identified earlier.

    • Enter reminders in calendar for dates to charge deposits and apply payment on due dates. Follows up on all groups on the due dates, contacting group guests or the group planner when credit cards are declined or rooming lists are not received.

    • Assists group planners and group guests by providing rooming lists, contacting for payment, extending pre/post cutoff dates, adding rooms, resolving discrepancies and answering general questions.

    • Reviews Group Accounts prior to arrival and verifies accuracy of rates, special requests, fixed charges, routing and payment.

    • Prepares Group Recap on a weekly basis and distributes to internal departments so groups can be properly serviced.

    • Maintains the shared Group Meeting Calendar, prepares the BEO, creates the Meeting Room Signs

  • Office tasks

    • Frequently copies, scans, faxes and files.

    • Frequently communicates in a timely manner via email and phone.

    • Weekly verifies and prepares commissions for payment.

    • Weekly Processes approved Sales and Marketing invoices in Birchstreet.

    • Occassionally gathers data and information and creates documents and spreadsheets.

    • Maintains paper and online files.
    • Other duties as assigned


Qualifications

  • Proficient in Microsoft Excel, Word and Outlook.

  • Excellent verbal and written communication skills when emailing or answering phone calls.

  • Good mathematical skills to formulate Excel spreadsheets in order to process advance deposits and payments, calculate commissions and provide payment information to guests.

  • Detail oriented, resourceful and takes initative to solve and resolve situations, with the ability to improve processes.

  • Experience with Opera, SynXis and Birtchstreet is desirable.
