Administrative Assistant
Wyandotte, MI
Pay Rate: $19-22/HR
Administrative Assistant will provide administrative and clerical support as directed to meet site objectives. Incumbent may also be assigned additional duties as directed, including, but not limited to preparing budget reports, assisting with onboarding new hires, and Environmental, Safety and Health (HSE) activities. The incumbent will work closely with the Head of Health, Safety, and Environment to ensure site/regional HSE processes are executed in line with corporate guidance.
Administrative Assistant Responsibilities:
  • Provide daily administrative support for senior managers, including organizing business trips and office meetings/outings, managing calendars, taking notes, making calls, answering emails, etc.
  • Order equipment, such as lab coats and safety shoes, office supplies, business cards, office gifts, etc.
  • Facilitating event planning, including invitation correspondence, catering, space planning, notetaking, etc.
  • Completes monthly and annual HSE reporting requirements, ensuring up-to-date compliance with relevant requirements; acts as Site Medical Contact
  • Assist in developing and managing HSE file/document retention program, and act as administrator for various HSE systems
  • Assist in developing and implementing standard operating procedures and policies around Responsible Care initiatives, including compliance reporting, training development, and delivery
  • Coordinate with other Administrative / Office Assistants for company-wide and inter-site events and policies
  • Monitoring operational budget, reviewing all on-site departments invoicing, processing expense reports, and payment of invoices and ensure accuracy of all invoices.
  • Coordinate with IT department and maintain functional status of audiovisual equipment in conference rooms
Administrative Assistant Requirements:
  • High School Diploma with 3-5 years of administrative experience required; Bachelor’s degree in Business or related field preferred
  • Must have excellent written and verbal communication and customer service skills.
  • Must be detail-oriented and able to read and interpret company policies, procedures, and guidelines
  • Strong time-management and organizational skills.
  • Must be proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook). Proficiency with Lotus Notes or other data systems/data analysis skills preferred
  • Must be able to lift and/or move up to 40 pounds on occasion
  • Working knowledge of corporate spending reports
  • Experience working in a 5S and safety-conscious environment
  • Familiarity with change management and training development & Learning Management Systems preferred
  • Environmental, Safety, and Health experience preferred
