Position Summary:

The Administrative Coordinator, Communications reports to the Deputy Director of Communications, Strategic Initiatives and provides substantive and administrative support to the Communications team, particularly focusing on managing administrative priorities and projects including managing databases, overseeing the budget, and managing various contracts. The Coordinator is an integral part of the team supporting multiple staff. The position requires an ability to manage multiple projects at once, prioritize deadlines and see projects through to completion.

The Administrative Coordinator, Communications role is a hybrid role based in Washington, DC reporting to HRC's headquarters; this role is not eligible for remote work.

Position Responsibilities:
  • Assist the communications team and VP of Communications with administrative duties including scheduling meetings, travel and appointments, managing department meetings, reporting expenses and filling out check requests.
  • Manage the general press inbox and ensure inquiries get to the proper person.
  • Hire, train, and supervise the communications interns.
  • Maintain the on-call calendar for the communications team.
  • Coordinate and oversee media monitoring and the press clip process in Meltwater.
  • Manage the weekly press clips tracking document.
  • Maintain lists of media contacts in the platform, Cision.
  • Maintain subscriptions to periodicals and the periodicals database.
  • Maintain files and other resources of materials for the Communications Department's needs.
  • Draft various contracts for HRC's intellectual property and consultants and external entities providing services to the Communications Department as well as working with General Council for contract approvals.
  • Other duties as assigned


Position Qualifications:
  • Bachelor's degree or equivalent work experience with at least two years of relevant work experience within a fast-paced administrative role required.
  • Exceptional attention to detail and organizational skills.
  • Strong professional ethics and sensitivity in dealing with confidential issues.
  • Demonstrated ability to use tact and diplomacy when dealing with sensitive issues at all times.
  • Demonstrated ability to work well under pressure, ability to handle multiple projects simultaneously and manage work under tight deadlines.
  • Must be comfortable working in a high-volume environment and be able to follow closely the messaging of the organization on a wide variety of issues.
  • Excellent communications abilities, strong writing, analytical and creative skills.
  • Proficiency with Microsoft Outlook, Word, Excel, and other database and productivity programs required.
  • Ability to travel occasionally on evenings and weekends, to support communications team needs.
  • Flexibility with work schedule; this position requires some evening and weekend work.
  • Personal interest in and commitment to LGBTQ+ equality.
