This position is full time, Monday through Friday, 8:00 AM to 5:00 PM.
Hourly pay will be in line with experience.

Office Manager - The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Scope of job and duties performed
Accounts Payables:
• Open incoming mail, sort & determine if ok required by supervisors, match to packing list.
• Match completed PO’s to invoice, ensure packing list items also match invoice
• Credit card reconciliation for all accounts
• Enter matched Invoices & PO’s in Peachtree on a daily basis
Accounts Receivables:
• Accounts receivable collections.
• Keep spreadsheet of accounts receivables based from production schedule.
• Coordinate with salesmen regarding customer contact
Quality Control:
• Copy PO’s for QC, # of copies is dependent on number of jobs on purchase orders.
• Check for accuracy between PO, MTR and signed MTR to ensure that compliance is being met.
• File in QC office in corresponding file & Copy PO for Accounts Payables & attach packing lists.
HR Medical Benefits:
• Research and set up of all employees new Health Insurance Benefits. Manage any changes, or requests from insured or insurers, & Add all new employee online with through online portal.
• Liaise with insurance broker for medical insurance questions.
• Employee relations
Office Manager additional duties:
• Relief duties for front office secretary if absent or if needed.
• Notarize any Lien Waiver or Payment Document. Retain Bond.
• Coordinate any company function, outings or catering.
• Travel arrangements for field crew or owner.
• Research, arrange and maintain vending machines and coffee service for employees.
• Assist salesmen with reports for customers or themselves. Sending Christmas cards to customers & vendors. Sending sales flyers to existing and potential clients.
• Fed ex and UPS shipments for returning of parts, oil analysis, etc. using website and scheduling pick up
Technical Support ( Added Bonus):
• All local computer technical issues for every computer on site, or any program support that staff members request;
• Liaise between tech support and us. Sit in with all meetings with IT.
• Call our security company for any technical issues with cameras or alarms.
