Administrative Assistant/Receptionist - Hospitality 75 - 90

Events firm has an immediate opening for a hard-working and highly motivated
Administrative Receptionist. The position will be a key member of the firm’s Administrative team

· Calendar Management, travel arrangements, expenses, and ad-hoc projects for CFO

· Periodic, but extremely high-priority, in-office support of CEO as needed (superb attention to detail is a must)

· Assist Office Manager with projects and errands

·· Responsible for preparing weekly expense reports, and maintenance of pristine expense records

· Maintain multiple expense records for staff

· Assist with filing and maintenance of confidential documents

· Provide excellent service to all Guests: includes greeting, showing to their room, offering drinks, providing wi-fi, and letting their host know they’ve arrived

· Maintain the conference rooms and prepare for all meetings: includes handling multiple calendars, and providing excellent conference call/skype/video call support

· Answer phones and take phone messages- superb phone etiquette is a must

· Arrange couriers and FedEx deliveries and distribute mail

· · Keep stock of groceries and supplies for the pantries and meeting rooms on both floors, and arrange all catering for office and meetings

· Be gatekeeper and coordinator for office vendors

Qualifications

· 1-5 years of experience in an Administrative Assistant role

· friendly and professional

· Strong ability to multitask and prioritize

· Experience with Travel arrangements and expense reports

·IProactive and thorough approach to work

· Extremely well organized

· Experience interfacing with cClients
