Job Description

We looking for an administrative assistant to support our St. Petersburg location. This role will be the point of contact for the office and sure all administrative tasks are overseeing administrative/receptionist area. The ideal candidate will be customer focused, have exceptional organizational skills, strong interpersonal skills, and a strong attention to details, and dependable. You will have excellent verbal and written communication skills.

What you will get to do:

  • Answer and direct phone calls in a professional manner
  • Coordinate and schedule Zoom/Web conferencing
  • Develop and implement an administrative systems to make them more efficient
  • Organize and schedule meetings, interviews and appointments as required.
  • Develop and maintain a computer and manual filing system
  • Carry out administrative duties such as producing and distributing correspondence memos, letters, faxes forms, filing, typing, copying, binding, scanning etc.
  • Receive, sort and distribute the mail
  • Print/distribute/email payroll sheets, bonus sheets weekly
  • Fill out new hire paperwork and email to corporate office
  • Maintain inventory/distribution of team member assigned Ipads
  • Ensure Arlo cameras are charged and in working order (training provided)
  • Provide information by answering questions and requests
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Other duties as needed.

What we require:

  • High School diploma or equivalent is required. Associates degree is a plus
  • 1 – 2 years’ experience in an administrative, or receptionist role.
  • Proficient in MS Office (Word, Outlook, Basic Excel, and Basic PowerPoint) and Web conferencing
  • Must be able to work Monday – Friday 9:30a.m. – 6:00 p.m.
  • Proficient with I-pad set up and basic troubleshooting
  • Basic Math Skills. Prior payroll processing experience is a bonus.
  • Able to manage sensitive information in a confidential manner
