We are looking for our next valued team member to provide administrative and office support.Job Summary: The Office Administrative Assistant will handle support for various departments and personnel. The OAA will be expected to be professional at all times and present himself/herself in a positive way that actively maintains the firms core values HT3 and service standards.General duties, responsibilities and expectations for this position are as follows:Provide excellent customer service to incoming guests, callers, and co-workers.Take ownership of the front desk and build relationships with our clients.Call by name, get to know the clients and who they work with at our officeAnswer in-coming calls and route them to the appropriate party; messages will be taken only under special circumstances.Maintain a thorough knowledge of the telephone system and provide training asrequired for relief personnel.Coordinate incoming and outgoing faxes.Sign for incoming and outgoing deliveries and coordinate/distribute daily mail appropriatelyMaintenance of the Office Kitchen area including:Cleaning and re-stocking refrigerator as neededOrdering of beverages/coffee supplies. Replenishing snacks and beverages daily in the kitchen/refrigerator.Manage conference room Outlook calendar.Set up trainings, meetings and SKYPE meetingsManage FV Networking Outlook calendarManage FV office suppliesMaintain clean workroomMaintain common areas including conference rooms and lobbyMaintain the shred bins for the officeSocial Committee MemberCoordinate items back and forth to other officesCreate folders, packets, copies of HT marketing, for clients and HT StaffHelp on deadline days for a checks and balances system of client electronic formsVarious data entry as requested.Update client address changes in databases.Various scanning to client folders as requested.Reorganize office areas as needed for efficiency.Refill paper in all stations of the office.The OAA will be expected to provide excellent customer service to the firm consistent with the firms established service standards.

Additionally, the OAA will be expected to:Complete assigned tasks on a timely basis and develop efficient work habitsMaintain confidentiality of the firmMaintain a pleasant, professional attitudeKeep Career Advisor appropriately informedEnter time daily and release. Complete time sheet weekly.QUALIFICATIONS:Minimum 1 year of previous experience in an office administrative role.Experience is preferred in the professional service industry.Experience with Microsoft Office products, including Windows, Word, PowerPoint and Excel.PHYSICAL DEMANDS:While performing the duties of this job the employee will regularly be required to sit, stand, drive, kneel, crouch, crawl and lift and/or move up to 25 lbs.
