Audio Visual Project Coordinator

The company I represent is the premier Audio-Visual and control company in the Southwest.

They are currently seeking Project Coordinator. This position involves working with the entire company to deliver functioning A/V systems for our exceptional clients.

Expectations & Objectives:

  1. Attitude:
    • Maintain a positive attitude at all times. Be representative of The company’s values to other trades and clients.
    • Support the Project Management team in any way possible.
    • Maintain and foster effective working relationships with the install technicians, project managers, and sales team through clear and effective communication, independent thinking and pro-active problem-solving. Be solution-oriented.
    • Customer communications: Keep all conversations positive and have The company’s best interest in mind.
    • Maintain focus on the tasks that are the priority and ask for help when needed.
  1. Essential Functions:
    • To support your assigned Project Manager through the following activities, as they relate to all projects assigned to your Project Manager:
      • Manage the SalesForce project page.
      • Facilitate project handoff/kickoff meetings
      • Create templates for project documentation, when required
      • Manage project data in PlanGrid
      • Assist in scheduling of Field resources (installation, programming, design, & IT).
      • Review reported time and status reports – follow up on open items, questions, issues, etc
      • Assist with change orders, customer communication (phone/email), calling technicians, verifying equipment specs, equipment staging requests, etc.
      • Attend project meetings with PM and take notes accordingly. Focus on action items and email notes to the team after the meeting. Follow up on all action items accordingly to ensure the team is actively working towards resolutions.
      • Fill-in for PM at weekly meetings, conf calls, etc, when PM is not available to attend the meeting.
      • A preliminary site walks with PM to review SOW and document all open facility requirements.
      • Follow up site walks to verify completion of pending facility requirements.
      • Daily scheduling of techs and programmers, send out installation schedule to the team
      • Run Change Order reports, and follow up on the status
  1. Requirements:
    • Possess Initiative - have fire in the belly to do and be great!
    • Knowledge of Crestron AV Systems
    • Prior scheduling experience
    • Strong Technical Aptitude
    • Ability to quickly learn new technologies, software programs and procedures
    • Four-year college degree and at least two years of related experience or equivalent combination of education and relevant experience in a similar position
    • Ability to read, analyze and interpret general business communications and contracts. Ability to write reports, business correspondence, and procedure documents.
    • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
    • Ability to interpret a variety of instructions given in written, oral or schedule form.
    • Ability to communicate effectively verbally and in written form.
    • Fluent in Microsoft Office products (Excel, Word, Outlook, PowerPoint, OneNote), comfortable with frequent internet searches and research.
    • Ability to work a minimum of 40 hours per week, 8am-5pm daily and sit for 3-4 hours at a time.
