Supervisor of Dental Receptionists

LINE OF RESPONSIBILITY: The supervisor of dental receptionists reports to the Dental Practice Manager
PURPOSE: To oversee all dental receptionists across all sites, and to provide clerical and receptionist support for patient visits and general operations of the clinic.
RESPONSIBILITIES:
- Performs the duties of Front Desk Receptionist.
- When department is shorthanded in reception, may greet and check patients in/out in a professional manner, register patients, and assure the documentation of required demographic insurance and financial information is updated and accurate.
- Perform duties as Supervisor of Reception Staff.
- Supervises receptionists at Huntington, Worthington, and JP Musante Health Centers.
- Scanning / supervise scanning, abstraction, and Dental Email.
- Hires/Trains subordinate staff in operational procedures.
- Recommends changes in operating procedures; in consultation with the Dental Practice Manager, implements changes and improvements in procedures.
- Coordinates and assigns receptionist scheduling, assuring adequate coverage at both sites.
- Confers regularly with provider staff to identify problems and opportunities for improvements in front desk operations.
- Consults with dental director and dental practice manager to define problems and opportunities for improvement in front desk operations.
- Advises patients on procedures, policies, etc. relating to patient services (appointments, records/x-ray release, insurance/billing, etc.) and refers patients to appropriate department head as indicated.
- Manage all record requests inbound and outbound.
- Adjust provider schedules for template changes, meetings/holidays/time-off requests and any other necessary items. Manage rescheduling of patients.
- Manage HCHC web encounters emailed from Tabitha, correspond with patients.
- Review and approve time sheets for all dental receptionists.
- Responsible for performance evaluations and staff development.
- Keeps Practice Manager continuously informed of front desk operations as required to foster and maintain administrative oversight of health center operations.
- Other duties as assigned.
QUALIFICATIONS:
High school diploma or equivalent required. Associates degree preferred. Three years of medical office work preferred. May substitute other supervisory experience. Must have a commitment to maintaining strict confidentiality of patient information in accordance with HCHC policy.
