Office Manager

We are looking to hire an Office Manager who can also serve as an Assistant Administrator to join our team! You will be responsible for overseeing the administrative activities of the organization.

Office Manager (Duties & Responsibilities):

  • Answer phones daily, return emails and missed calls.
  • Email customers information and include Home Consultants to follow-up.
  • Notify PMs whenever items are delivered and write job names on exterior of packages for quick reference.
  • Get the mail, date stamp and disperse to appropriate parties.
  • Enter bills on spreadsheets, get them approved by Project Managers.
  • Complete billing process for Accounts Payable.
  • Call suppliers to receive missing invoices, questions regarding billing and answer their emails when they have questions.
  • Maintain a construction job log.
  • Process change orders.
  • Scan and upload documents to Onlocation daily.
  • Proof Home Consultant new sales for errors and completion.
  • Send lenders plans, documentation and anything else requested to assist in the lending process.
  • Enter new sales into Construction System.
  • Create walk-through folders, update and maintain all information inside so it is current and looks professional.

Assistant Administrator (Duties & Responsibilities):

  • Answer phones daily and return missed calls.
  • Post Office Daily for bills or items needed to be mailed.
  • Enter bills on spreadsheets.
  • Complete billing process.
  • Process change orders.
  • Scan and upload documents.
  • Water flowers/plants weekly.
  • Shopping for the office.
  • Make sales office folders when needed.
  • Attend weekly Construction meeting and take notes.
  • Keep supplies ordered and on stock.
  • Call suppliers and homeowners whenever needed or asked.
  • Take payments from Home Owners, write receipts and enter in the notes.
