Job Description

Administrative Office Assistant

Full Time: Mon-Fri 7am-330pm

Location: Honolulu Area

Job Duties:

  • Answers all incoming calls; ensure calls are redirected accordingly and/or take and retrieve accurate messages.
  • Sort and distributes mail.
  • Greet guests in a professional, friendly, hospitable manner.
  • Composes, organizes and types a variety of reports, letters, documents, schedules, proposals, etc.
  • Summarizes, prepares and inputs time sheets on company approved software.
  • Organizes and files various plans and documents. Includes but is not limited to the following at Azure Ala Moana: invoices, timesheets, RFIs, submittals, and safety and field forms (daily manpower reports, daily inspections, manpower transfers, safety submittals, incident reports).
  • Keeps abreast of administrative functions of the project and maintains accurate project records/files. 8. Administers the Visitor check-in/out process.
  • Comes to work regularly and on time, follows directions, takes constructive criticism, gets along with co-workers and supervisors, treats co-workers, supervisors and customers with respect and courtesy, and refrains from abusive, insubordinate or violent behavior.
  • Performs other duties as assigned.

Minimum Qualifications:

  • The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he/she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
  • Business school courses and office skills or equivalent education or experience.
  • Ability to type accurately and properly use office equipment - calculator, fax machine, copier, phones and dispatch radio.
  • Able to multi-task.
  • Strong organizational skills.
  • Knowledge of construction terms and materials preferred.
  • Previous construction office experience preferred.
  • Maintain professional appearance.
  • Excellent communication (oral or written) and interpersonal skills in dealing with all levels of employees and outside contacts.
  • Working knowledge of personal computer applications (spreadsheet, word processing and database).
  • (Microsoft Office: Excel, Access, and Word)

 

Other Specific Tasks:

  • Print hard copies of RFIs and submittals before filing them. Access to files is through Procore.
  • Order office supplies from both the main office.
  • Monitor the Xerox machine and arrange for servicing when there are issues.
  • Monitor the recycle paper bin and schedule pickups with Honolulu Recovery Systems.
  • Coordinate the Aloha Water delivery for the field office (once every two weeks)
  • Coordinate portable toilet servicing for the field with Bennett. Schedule toilet removal/addition when required.
  • Coordinate roll-off service/trash pickup for the field through Peter when additional services or cancellations are required.
  • Provide COVID-19 support for the project safety administrator:
    • 1. Print COVID-19 forms for field use.
    • 2. Sort and scan COVID-19 forms to server for record (daily questionnaires and tracking logs).
