Job Description

HerMD is seeking a full-time Practice Manager for our new Berry Farms (Nashville), TN, and  Carmel (Indianapolis), IN locations!

The successful candidates will possess exceptional management experience in a healthcare environment.  Ideally, they should also have excellent business and customer service skills as well as a commitment to excellent patient care. This person must be self-motivated, detail-oriented, independent, a proven leader, and have a positive and professional attitude.

Responsibilities

  • Acts as liaison between the practice physician(s) and employees and HerMD’s corporate divisions.  Corporate divisions include: Human Resources, Marketing, Billing and Coding, Provider Education and Compliance, Applications Support (PM), Operations, Finance, IT, Electronic Medical Records (EMR) and Chief Officers.
  • Responsible for day to day operation of the practice with guidance and oversight from practice physician(s).
  • Responsible for administration of HerMD and practice policies, procedures and protocols.
  • Assists in establishing, updating, and implementing practice goals and objectives consistent with the practice physician and HerMD’s directives.
  • Develops and supports a clear communication plan to ensure the timely and effective flow of information and resolution of patient concerns and complaints.
  • Develops and maintains practice forms and other documents to maintain consistency with other HerMD clinics.  
  • Reviews and approves employee payroll and time and attendance requests and maintains employee records (in coordination with Human Resources and Finance/Payroll).
  • Assists practice physicians in developing and evaluating quality assurance programs.
  • Responsible for the coordination and roll out of physician schedules in HerMD’s practice management system (PM).
  • Responsible for scheduling employee assignments (phone schedule, front office, back office, etc.).
  • Ensures that practice is appropriately staffed. Works with Human Resources for supervision and evaluation of practice employees and recruitment, hiring, status and classification changes (i.e. part time to full time and/or Hourly/Non Exempt to Salaried/Exempt) and orientation of new employees, employee Leaves of Absence (i.e. FMLA), etc.  May also work with Human Resources for employee performance concerns, disciplinary action, and terminations.
  • May conduct staff meetings, develop agenda, etc. 
  • Works with a Billing division staff member for any billing questions, patient complaints, charity approvals, payment plans, etc.
  • Works with the IT department in ordering equipment (i.e. computers, phones, printers, etc.) and equipment set up, installed, etc.  Coordinates through IS Help Desk other IT, EMR and Applications Support issues/concerns that may arise for the practice.
  • Oversees and approves ordering of clinical and administrative supplies for the practice in order to ensure consistency with HerMD’s guidelines.  
  • Coordinates any additional training for practice staff members, if necessary.
  • May be responsible for the P & L for the practice.
  • Oversees and/or assists with payment approvals with the Finance division. 
  • Attend all assigned meetings to create, foster, and ensure we are developing best practices within the office. 
  • Conduct new employee practice training.
  • Track/approve employee PTO/vacation requests.  Responsible for ensuring that the clinic is appropriately staffed.  
  • Coordinates badges, keys, and/or locks for team members and physicians.
  • Responsible for the practice compliance and new hire/annual training.
    • Scheduling and running bi-weekly employee meetings.
    • Scheduling and running monthly aesthetic planning meetings.
    • Managing internal office communications.
    • Holding weekly one-on-one meetings with direct reports.
    • Manage all relationships with local business development partners.
    • Attend and manage partnership events in order to generate leads.
    • Oversee all HerMD events within the community.
    • Manage relationships with third party vendors and suppliers.
    • Supporting marketing team initiatives, including specials and events.
    • Resolving patient / client requests and complaints.
    • Responsible for hitting revenue goals.
  • Undertakes other duties and special projects, as assigned.

Qualifications:  

Bachelor’s degree in healthcare administration, business administration, or a related field.

3 – 5 years of management experience, preferably in a healthcare environment.
