CTC-RI is looking for a PART-TIME Financial Administrative Assistant

Are you an experience in a professional office (supporting professionals and C-suite stakeholders) with excellent people skills, energy, customer service skills, communication skills, writing skills, attention to detail and patience? Can you coordinate multiple projects and processes, coordinate meetings, manage materials, and coordinate calendars? Are you hard-working, dedicated, intelligent, helpful and responsible? This position is part-time at 10 hours/week between 8:30-5pm ET, and remote within the contiguous United States (Rhode Island preferred)

Responsibilities May Include:

  • Screen phone calls, emails, and other communications as directed. Take initiative to coordinate or respond to communications in conjunction with assigned responsibilities.
  • Support the Board of Directors by coordinating and scheduling meetings, updating, revising, collecting, and collating documentation as directed.
  • Organize and facilitate project-related meetings, including the creation of agendas and preparation of materials, recording, and distributing minutes and action items.
  • Prepare and organize invoices for approval and payment.
  • Liaison with customers and stakeholders at the leadership and support staff level.
  • Schedule, plan, and coordinate logistics for internal and external programs including registration, budgets, refreshments, equipment, materials, audio-visual, etc.
  • Initiate and maintain communications with internal and external as directed.
  • Enter data into appropriate programs as requested.
  • Compile data, surveys, questionnaires, spreadsheets, and graphs as requested.
  • Serve as a point-of-contact for project information.
  • Perform other related duties as assigned.
  • Perform quality work within deadlines with or without direct supervision
  • Must be able to maintain a good attendance record.

Minimum Qualifications

Education and Experience

  • Associates degree, or the equivalent in relevant work experience required; a four- year degree is preferred.
  • Minimum of three years' administrative experience required.
  • Experience providing administrative support to project teams
  • Experience in a health care environment working with health care providers a plus.

Skills and Training

  • Advanced proficiency in standard office software applications, (PowerPoint, Excel, Word, Zoom, Teams, Adobe Sign), experience working with websites
  • Advanced proficiency in remote meeting and webinar technologies, including Zoom and operating conference calls.
  • Proficiency in other program or technology requirements: Survey Monkey, Constant Contact and Doodle.
  • Must demonstrate strong customer service orientation with both internal and external contacts.
  • Articulate with a good command of the English language and grammar. Ability to read, write and analyze advanced business information. Ability to communicate complex ideas effectively.
  • Strong mathematical and analytical skills.
