Executive Assistant

The Executive Assistant (EA) reports to the HealthPay24 CEO and will be responsible for administrative tasks and daily office management of HP24 headquarters. The EA will provide effective administrative and corporate event planning support to the Executive Team with the goal of running the HP24 headquarters in an efficient and seamless manner.


First 30 days

  • Identify the key office management and administrative functions desired by the CEO and Director of Finance
  • Record all necessary information to provide top level admin services (rental cars, priceline, airline cards, credit cards, Traveler numbers, insurance preferences, etc.)
  • Go through orientation, meet with staff, integrate with the team
  • Meet the building management staff for High Associates and develop rapport
  • Meet with the various vendors as needed (ex. FedEx, Food/Water providers, FedEx, Guernsey, cleaning service)
  • Perform an informal survey of office staff to see what things they feel could be improved if any

First 90 days

  • Create systems for supply reorder, vendor management (ex. Copier, Water, Coffee, Paper)
  • Establish cadence around office management
  • Establish cadence around admin support for CEO and Director of Finance


  • Dealing with Office Building Facility Management
  • Answering the door and greeting visitors
  • Ordering of Supplies and Snacks for the Office
  • Work directly with company management for any office related issues
  • Ensure a smoothly running headquarters
  • Executive Scheduling, making reservations for lunch, dinner and travel, etc.
  • Mail Distribution
  • Scan and forward checks and bills to remote accounting personnel
  • Match customer payments with invoices and file appropriately
  • Check deposits via ach bank scanner
  • Miscellaneous office administration
  • Corporate Events: Planning and Execution
  • Filing of contracts, etc., formatting of documents
  • Calendar Management for the CEO
  • Ad Hoc administrative support for Director level management


• Minimum 3 years of experience in an administrative, executive assistant, bookkeeping assistant or office management role

• BA/BS degree or equivalent

• Strong organizational skills and the ability to multitask

• Resourceful and self-directed individual

• Corporate Event Planning Experience

• Must demonstrate true expertise in relevant business tools & systems administration (Outlook-Calendar Management, Excel, Word, PowerPoint, Adobe)


  • Strong written, verbal and presentation skills, ability to communicate effectively with senior management
