OVERVIEW

We are seeking an upbeat, friendly, motivated office professional seeking a full time, long term position in the Front Office environment of our fast-paced, fun-filled Outpatient Physical Therapy & Performance clinic. This position is ideal for someone seeking long term, full time employment in a rewarding environment helping our patients excel in health, wellness, and life.

The Front Office Administrator oversees the Healing Motion patient experience, the delivery of our trusted brand of service, and the efficient operations of daily business activities. The Front Office Administrator puts our patients’ and referring providers’ experience and support of Healing Motion team members above all else.

The Front Office Administrator is responsible for the performance of the front office, schedule management, accuracy & efficiency of daily operations, assisting the Front Office Manager, Clinic Director/Operator, and working the same tasks as the Front Office Assistants/PT aides.

Compensation: Dependent on Experience; Full time with benefits package.

JOB DUTIES AND RESPONSIBILITIES

Greet patients and customers in a courteous manner that makes them “feel at home”

Maintain a front office environment consistent with the values and goals of the clinic

Assist patients through the intake and checkout front office process:

  • Review financial obligations with incoming patients; document accurate insurance information and perform insurance verifications

  • Perform insurance pre-authorizations; communicate this to each incoming new client; collect/process all patient co-pays, deductibles

  • Ensure strict confidentiality of financial records

  • Take clear and concise phone messages

  • Responsible to assure intake of all relevant patient data from referral source

  • Perform accurate collection of patient demographic information

Responsible for scheduling patient appointments for physical therapists to ensure a full schedule:

  • As a primary patient scheduler, coordinate patient availability with therapist visit requirements

  • Assure all qualified incoming patient referrals are scheduled in timely manner with an initial evaluation and subsequent visits

  • Work to achieve full census by tracking cancellations and filling open PT appointments with patients from a wait list kept for all therapists

  • Assure all patients have a daily confirmation of their upcoming appointments

Coordinate with the Office Manager to perform a variety of general clerical duties including:

  • Track, file and assist with transmissions to MD offices and physical therapy related record requests

  • Assist in preparing daily billing sheets for therapists

  • Prepare new patient files and properly purge discharged patient files

  • Prepare charts for the next day

  • Prepare new patient files and purge discharged patient files

  • Create new patient packets and charts

Demonstrate safe and effective set-up of equipment and modalities when instructed by Physical Therapist

Responsible for keeping the clinic/office clean and orderly, including:

  • Prepare, maintain and clean treatment rooms and gym

  • Assure patient laundry is clean and distributed to stock all areas fully

  • Keep common area and front desk tidy and clutter free

Assist with special projects and/or assignments assigned by the Office Manager or Physical Therapist

PHYSICAL REQUIREMENTS

  • Constant use of arms, hands, hearing and sight

  • Frequent standing, squatting, walking, and reaching

  • Occasional lifting of up to 50 lbs

  • Occasional pushing/pulling

  • Frequent stooping/bending

  • Ability to use office equipment (computer, printer, telephone, fax machine, and like equipment)

REQUIRED QUALIFICATIONS/EXPERIENCE

  • High School Diploma or equivalent (GED)

  • Experience with Microsoft Office

PREFERRED QUALIFICATIONS/EXPERIENCE

  • Associates Degree, Bachelors Degree, or Higher Degree -- Preferred areas of study: Kinesiology, Biology, General Science, or other Physical Therapy, Medical/Health/Exercise/Nutrition OR Business Administration or Marketing related field

  • General knowledge of anatomy and medical terminology

  • General experience and understanding of exercise, fitness, and nutrition

  • General knowledge of social media use and marketing

  • Prior working experience in Physical Therapy or Medical office setting

  • Prior working experience with medical insurance including pre-authorization requirements and processes

  • Prior administrative, management, and/or leadership experience

  • Prior working experience in sales and marketing
