Position Summary

Headworks Int'l is a leader in the water industry across the globe. Many who enter the company at this level are promoted into positions of greater responsibility over time. The General Clerk position provides support to various departments. The General Clerk position works both individually and with a team. They work to ensure that all tasks they are given are handled efficiently, correctly, professionally, and completed on schedule so that the business runs smoothly. This is a role for someone who is friendly, enjoys helping others, is interested in learning a wide variety of skills, and has a passion for helping improve water quality around the world. Typically, Clerks working for Headworks typically grow their careers in the company as they are exposed to more responsibilities over time.

Essential Functions
  • Attend planning and scheduling meetings to maintain the department calendar and coordinate workflow.
  • Keep track of all official documents pertaining to projects and procurement activities (i.e. Purchase Orders, Bonds, Certificates, etc.), as well as all official and unofficial project correspondence.
  • Assist in collating and shipping documents to customers.
  • Serve as a liaison between various departments within the company.
  • Ensure all records and files are maintained and up to date.
  • Help maintain project and component deliverable schedules and notify appropriate team members of deadlines.
  • Assist the Project Management and Procurement Departments as required.
  • Assist the Finance Department by entering bills into QuickBooks and related tasks on occasion.
  • Create and modify documents such as reports, memos, and letters using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office and other programs.
  • Perform general office maintenance duties such as maintaining supplies, keeping kitchen, conference rooms, and lobby tidy, and taking care of plants.
  • Help set up workspace and order business cards for new hires.
  • Order lunches or snacks for onsite business meetings and help with organizing team events.
  • Miscellaneous tasks as directed by the company managers from time to time.


Requirements

Qualifications.
  • Proficiency in all Microsoft Office programs.
  • Minimum 50 WPM.
  • Excellent interpersonal and English communication skills, both written and verbal.
  • Excellent organizational skills with the ability to multitask.
  • Ability to juggle many different tasks and deadlines at one time.
  • Ability to work closely with teams in achieving common goals.
  • Willingness to learn and take on tasks outside of the general job description.
  • Ability to perform all essential job functions independently.
