Construction Project Administrator

Job Description
Rapidly growing real estate development firm is seeking an experienced part-time construction administrator to assist the construction team on its projects in the Lexington area.  We specialize in large multifamily renovation and new construction projects.  Must have a reasonable understanding of construction, be detail-oriented and possess the ability to work on multiple parts of a construction project simultaneously.

ROLES AND RESPONSIBILITIES
  • Perform administrative functions and provide administrative support to project team and/or executive group in field or office as designated by management
  • Complete all documents and procedures necessary to administer the project, including, but not limited to subcontractors and self-performing crew members, purchase orders and various communications
  • Update and maintain tasks including, but not limited to Labor Draw Spreadsheet, ACM Air Quality Test Log (Notebook and Daily Log), Daily Log (Electronic) Deliveries, Visitors, Timecard, Notes, Inspections, Submittal Log (Notebook), New Hire Onboarding and Personnel Files, Draw Meeting Minutes Log, Updating Segment Materials Spreadsheet, Submitting Materials Receipts, and Inspecting and Receiving Materials
  • Maintain and track project information
  • Order supplies for project team/office
  • Maintain personal, office, and jobsite space (if applicable) in a neat and organized manner
  • Assist in the preparation and distribution of project punch lists
  • Archive all project documentation according to company guidelines
  • Participate in project and/or team meetings
  • Assist with daily planning of managers’ schedules, meetings, interviews and possibly travel (through corporate agency), if assigned
  • Assist in the implementation of new procedures as designated by Company
  • Assist project team with closeout coordination
  • Perform other duties as assigned

QUALIFICATIONS
  • Minimum 2-3 years’ experience performing project administration for a general contractor or subcontracting company
  • Thorough knowledge of billing/invoicing using purchase orders and subcontracts
  • Experience with technology used in construction project administration
  • Proficient with Microsoft Office applications
  • High school diploma required; Bachelor’s degree preferred
  • Strong attention to detail
  • Excellent time management and multi-tasking abilities; deadline-driven
  • Ability to assist field personnel with day-to-day duties
  • Excellent administrative and organizational skills
  • Solid interpersonal and communication skills – both oral and written
