Firm Administrative Assistant, Tax and Accounting

Job Description

The Firm Administrative Assistant is an entry level full-time position that works directly with clients from beginning to end of our service process, most importantly at client intake and upon completion of services. You will perform administrative and clerical work of considerable detail and difficulty, involving a considerable amount of independent judgement. You are responsible for the organization of client related work for timely processing and delivery. Your communication skills are key as you will be responsible for transmitting information to other staff members, receiving incoming mail, email and faxes, answering and directing telephones, greeting clients and visitors and assisting them with their needs. This will also include being able to efficiently type correspondence, proofread and review all written and typed materials to check for correct spelling, grammar and ensure formatting policies are followed. Maintenance of filing and records system will be a continuous process. Lastly the Firm Administrative Assistant will be able to work well with a small and cohesive administrative team and the accounting staff.

Education and Experience

Bachelor Degree or relevant experience

Minimum two years’ experience in clerical or administrative position

Ability to type 45+ words per minute

Microsoft Office Specialist Certification (Preferred)

Job Qualifications and Skills:

· Ability to work independently with little or no supervision; Self-Motivated

· Ability to perform several tasks concurrently with ease and professionalism

· Ability to operate a multi-line telephone system with a pleasant demeanor, answering routine questions and directing to accountants for specific questions

· Ability to read, write, speak and understand English proficiently

· Ability to operate office equipment, including but not limited to, computer, copier, fax machine, postage meter/scale, typewriter and 10-key calculator

· Available to work 40-hours a week and over time at 1 ½ rate of pay when necessary

· Ability to lift up to 20 pound boxes as needed

Job Functions:

· Prioritize front office tasks and delegate, when appropriate, with responsibility for follow-up through task completion.

· Schedule conferences and meetings with clients for office personnel posting to office calendar

· Proficient in Microsoft Office software including Word, Excel, Power Point, Outlook Calendar and Email

· Update and maintain the appointment calendar and calendar of key accounting deadlines throughout the year

· Compose emails, memos and other correspondence for transmittal of work product to clients and review the work of administrative assistant, as necessary

· Review accountant prepared documents for proper formatting (not content) to meet firm graphic standards prior to delivery to clients

· Open, sort and deliver daily incoming postal mail; attach a file when needed (Each mail piece must be date stamped)

· Organize and mail reminders to clients (ie: estimated tax payments)

· Seal, post and deliver outgoing mail to post office nightly

· Filing - sort, alphabetize and file materials on a daily basis

· Scan files per firm filing procedures for document retention

· Purge file shelves as necessary and keep updated log of off-site storage materials

· Type, copy and bind materials, as necessary, for delivery to clients

· Create new files/folders for clients; includes labeling files and entering client information into Lacerte

· Maintain referral source log and prepare new client welcome cards

· Maintain an inventory of office supplies & printed materials. Report to Office Administrator for supply orders

· Process tax returns for delivery to clients

· Contact clients for electronic filing and for delivery of tax returns, financial statements and other completed work product

· Maintain client information updates

· Ensure entire reception area including the conference rooms are kept neat and tidy, especially before and after each client meeting. Monitor break room and main restroom for cleanliness and organized appearance.

· Perform related work as required; job description is subject to change at any time

Desired Skills:

Working knowledge of Lacerte Tax software

Working knowledge of Practice Management Time Entry and Billing software
