Job Description

Our client, Hydra-Tech Pumps, based in Nesquehoning, PA is ready to hire a Full Time Administrative Assistant to help ensure the efficient day-to-day operation of the office, and support the work of management and other staff for Hydra-Tech Pumps LLC. Works with customers to help serve their needs. Administrative Assistant reports to the VP of Operations.

Primary Duties and Responsibilities

Administrative Assistants perform a wide range of duties including some or all of the following:

Reception:

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner

Office administration:

  • Use word processing, spreadsheet, and database software to prepare reports, memos, and documents
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing faxes and mail
  • Forward voice mail from the general mailbox to the appropriate staff member
  • Code and file material according to the established procedures
  • Assist customers with parts orders and quotes
  • Provide secretarial and administrative support to management and other staff
  • Prepare customer quotations, distribute follow up reports and process personal follow up duties
  • Generate and Distribute Quote Follow Up Reports
  • Schedule Safety Committee activities, participate as secretary of the Safety Committee, publish meeting minutes and insure compliance with OSHA filings and posting
  • Use computer software to assist in the preparation of required documents
  • Code and file financial material according to established records management procedures
  • Process incoming customer's orders from all team members and sources
  • Monitor and process Orders email
  • Assist procurement with verifying purchase order details with vendors
  • Inventory control of pattern equipment at foundries
  • Assist with cycle counts
  • Generate Vehicle ID numbers and titles
  • Coordinate company events and outings
  • Monitor and answer website chats
  • Month end duties as required
  • Prepare meeting agendas and supporting material for distribution


Education:

  • High School Diploma
  • Post-secondary education in business, computers, or office management is an asset

Knowledge, skills and abilities Proficiency in the use of computer programs for:

  • Word processing
  • Databases
  • Spreadsheets
  • Bookkeeping
  • E-mail

Internet Proficiency in the use of office equipment:

  • Computer, FAX, Copier, Scanner, Telephone System

Experience:

  • 1-3 years' experience in an office setting Working Conditions
  • Administrative Assistants work in an office environment onsite
  • Administrative Assistants usually work a standard work week
  • Can require long periods of sitting
  • Requires the ability to move around the building; some light lifting and bending
  • Smells emanating from manufacturing floor are present
