Job Description

The Business Manager provides overall direction for all activities related to agency financial health and operations. The Business Manager is responsible for the supervision of assigned Administrative, Accounting and Clerical staff, ensuring that business outcomes are achieved. The Business Manager works closely with managerial staff to ensure that program needs are met, and in collaboration with the Executive Director to ensure that all agency financial, licensing, regulatory, legal and contractual obligations are met.    

Qualifications: A minimum of a Bachelors Degree in Accounting, Finance or related field with two years of experience working in an administrative or accounting role is required.  Demonstrated experience in a leadership role in a professional setting required.     

Non-profit accounting/finance and supervisory experience in a professional setting preferred.   

The Business Manager shall possess skill and knowledge of accounting procedures, budgeting and fiscal reporting for non-profits, billing and payroll. 

Appropriate candidate must demonstrate history of professionalism with staff, clients and community partners alike, have the ability to work collaboratively with diverse groups, possess strong written and oral communication skills, be highly organized with meticulous attention to detail, and maintain the highest level of ethics, trustworthiness and discretion due to their access to sensitive information. 

Candidate may not have been convicted of child abuse or neglect, be listed on a central registry as a perpetrator of child abuse or neglect, or of a felony involving harm or threatened harm to an individual, fraud or financial crimes within the 10 years immediately preceding the date of hire.

Job Responsibilities and Duties:   

  1. Management and disbursement of accounts payable for agency staff reimbursement, agency expenses. 
  2. Management of accounts receivable, invoicing. 
  3. Maintenance and organization of assigned billing case files. 
  4. Management of contractual, private pay and insurance billing reports for services rendered by agency. 
  5. Provision of financial reports to Executive Director as requested.  
  6. Participation in yearly financial audit process and tax filing in collaboration with outside accounting firm/professionals.  
  7. Performance of monthly bank reconciliations to ensure accurate accounting balances.  
  8. Ensures adequate controls are installed and that substantiating documentation is approved and available such that all purchases may pass independent and governmental audits. 
  9. In collaboration with the Executive Director, creates a yearly operating budget. Work with the ED to ensure programmatic success through cost analysis support, and compliance with all contractual and programmatic requirements.  
  10. Oversees the management and coordination of all fiscal reporting activities for the organization including: organizational revenue/expense and balance sheet reports, reports to funding agencies, development and monitoring of organizational and contract/grant budgets. 
  11. Oversees agency risk, data, evaluation and compliance projects, supervising the activities of the Data, Quality and Compliance Associate. 
  12. Oversees agency development activities including fundraising activities and grant writing to meet agency financial and strategic goals, supervising the activities of the Development Associate. 
  13. Oversees all payroll activity for all regular and contractual staff. 
  14. Supervises and directs overall administrative activities for assigned Accounting, Administrative and Clerical Department staff, with a goal to improve skills, encourage individual professional development and improve agency efficiency. 
  15. Attends staff and management team meetings. 
  16. Participates as needed in special agency or departmental projects. 

Supervisory Responsibility: 

This position involves direct supervision of Clerical Supervisor, Data, Quality and Compliance Associate, Development Associate and all Billing/Accounting personnel.
