The Collection Specialist in the property management division is integral to the continued success of HH Red Stone Properties.  Collections specialists are tasked with the responsibility of ensuring collection activities are completed accurately, timely and proactively with residents that are delinquent in rent payments or other charges. As a Collection Specialist, you will be also responsible for preparing weekly reports of tenants’ rent status, reason for arrears, current court status, Public Assistance arrears, and contact made with the individual regarding rent issue.

Duties & Responsibilities

  • Work closely with Property Managers to reduce current and past tenant accounts receivable balances and ensure timely collections.
  • Review open tenant accounts for collection efforts.
  • Make and receive collection calls in a professional manner while keeping and improving tenant relations.
  • Collect customer payments in accordance with payment due dates.
  • Identify issues attributing to tenant account delinquency and discuss them with Property Managers.
  • Create a sense of urgency in communication that encourages residents to pay rent
  • Sent Notice-to-Vacate letters timely to delinquent residents
  • Manage collections, evictions, and other legal and administrative tasks.
  • File all evictions in accordance with state and local laws
  • Provide timely follow-up on payment arrangements.
  • Follow-up on returned payments and bad accounts
  • Gather proper documentation for court cases and send to the appropriate parties, e.g. internal and external counsel, leadership team.
  • Report all payment plan requests to management for approval in a timely manner
  • Check daily wires received from accounting to ensure payments are processed and updated timely
  • Stay abreast of changes in state specific requirements related to rent collection and the eviction
  • Communicate with internal and external counsel timely, accurately and professionally
  • Travel out of state as needed to support staff, attend meetings or attend eviction hearings
  • Assist with ledger explanations including late fee explanations and other charges
  • Process write-offs and ledger adjustments
  • Conduct all business in accordance with company policies and procedures and all state and federal regulations
  • Prepare weekly reports of tenants’ rent status, reason for arrears, current court status, Public Assistance arrears, and contact made with the individual regarding rent issues 
  • Review and monitor assigned accounts and all applicable collection reports.
  • Meet standard measurements for collection activity, achieve call volume while actively maintaining research and resolution of account issues
  • Work with billing and accounting to research payments and postings
  • Interact with Attorneys and property managers pertaining to legal processes. Assist Attorneys with requests for call notes, recordings and related items.
  • Perform other duties and responsibilities as assigned

Requirements

  • Minimum 2-3 years of collection experience. 
  • Bachelor’s degree preferred or equivalent relevant work experience
  • Ability to work in a fast paced, highly regulated environment
  • Ability quickly learn new software and report as required timely and accurately
  • Possess strong organizational and time management skills
  • Ability to work both autonomously and collaboratively with a team
  • Ability to initiate and handle difficult financial conversations with residents in a professional and empathic manner while remaining collection focused.
  • Possess a strong passion for customer service and success to achieve goals
  • Knowledge and compliance with Fair Housing laws at all times
  • In-depth knowledge of laws and policies related to debt collection. Residential and commercial leasing collections experience preferred.
  • Real Estate experience a plus.
  • Creative, self-disciplined, and capable of identifying and completing critical tasks independently and with a sense of urgency.
  • Highly skilled in negotiation.
  • Possess a positive outlook with ability to stay organized and efficient under pressure.
  • Goal driven with the ability to prioritize work to meet call volumes and department goals
  • Proven interpersonal skills, excellence in communications, both verbal and written and strong negotiating skills
  • Proven account analysis and problem-solving skills
  • Microsoft Word, Excel, Outlook

Compensation

38,000 base + up to 20,000 bonus
