Special Events Coordinator and Trade Show Manager

Rapidly growing CBD wholesaler is looking for an enthusiastic, creative, detail-oriented Special Events Coordinator and Trade Show Manager to join our leading marketing team.

This position will plan, develop, organize, implement, and administer special events as well as trade shows for Hemp Depot. The right candidate will have comprehensive research abilities for identifying viable trade shows and special events opportunities for our company. You will be responsible for work related to permitting special events, supporting event producers on permit regulations and requirements, and developing an effective plan of action for each event. Coordinating team members and finding the right contractors for optimal success is required for this management role.

Primary Duties & Responsibilities

  • Arranges all aspects of special events and trade shows including but not limited to developing creative details, site mapping, managing event budgets, security, technical arrangements, coordinating potential vendors, coordinating sponsor benefits, managing signage and supplies, creating internal staffing plan, obtaining any necessary permits, and submitting required paperwork.

  • Coordinates and serves in lead and supporting roles for existing special events, pop-ups, and trade shows as well as ongoing research for upcoming opportunities. The right candidate will have the ability to identify viable event opportunities for our company that go beyond the cannabis industry.

  • Responsible for disseminating special events information with our marketing team and working with our social media manager for event promotions.

  • Serves as a point of contact for special events and pop-up store permit questions, requests, and concerns from event producers and the public.

  • Facilitates meetings with event organizers, our marketing team, and other team members involved with the event to ensure all parties are in alignment with expectations and/or requirements as they relate to the upcoming event and disseminates discussion points from meeting to all parties to ensure compliance.

  • Comprehensive project management to include timeline and budget management as well as team member travel and accommodations.


Weekend and holiday work will be required based on the special events and trade show schedule. Provides administrative support for all events and marketing activities; performs other related duties that are assigned.

Minimum Qualifications

Education: Bachelor’s Degree in Public Relations, Special Events, Recreation, Marketing, or a directly related field.

Experience: At least 3 years of experience in large-scale special events and trade shows-- 5 years of experience is preferred. Experience in sponsorship sales or sponsor relations is preferred. At least 3 years of experience in customer service and 3 years of experience in account management are preferred.

Knowledge: Knowledge of booth specifications and ability to create event site plans; principles and practices of special events and trade show operations; applying for permits and filling out required paperwork; marketing and promotion; data management; and obtaining potential sponsorships.

Abilities: Ability to establish and maintain effective working relationships with employees, customers, vendors, and volunteers; handle sensitive situations with tact and diplomacy; communicate effectively both verbally and in writing; develop effective written and oral presentations; coordinate and supervise staff; oversee expenditures; be creative and innovative; ability to manage multiple projects simultaneously.

Skills: Strong communication, organizational, and interpersonal skills; skilled negotiator; strong computer skills for word processing and spreadsheet use; direct creative process for collateral and promotional materials; develop teamwork with employees from various internal departments.

Licenses Required: Colorado Driver’s License with a good driving history.

Working Conditions

Physical Demands: May require physical ability to lift up to 40 pounds; standing and walking; bending, stooping, pushing, pulling, and climbing; hand/eye coordination for operation of computer systems; vision to read reports and other written materials; frequent speech communication and hearing to maintain communication with internal staff, event coordinators, and customers; special events and trade shows will require coordinating, supervising, and ability to perform heavy physical labor when needed.

Work Environment: Primarily indoor work at our Colorado Springs facility; will require extensive outdoor and off-site exposure during events and trade shows.\

Equipment Used: Frequently uses standard office equipment including a computer system and routine software and business applications, including but not limited to, word processing, spreadsheets, presentation software, and databases; knowledge and experience using some audio-visual equipment.
