Position Summary
Gulf Coast Bank is looking for a Central Files Analyst. The Central Files Analyst performs in-house document scanning and indexing to ensure accuracy, timeliness, quality and easy retrieval of documents and information by others. The position will include the reviewing, preparing, scanning, and indexing of documents into the document imaging system, performing quality assurance, linking scanned documents to the core banking system, retaining, archiving and destruction of hard copy documents and files.
Primary Responsibilities
- Performs daily execution of document imaging with the highest level of consistency, efficiency, and accuracy.
- Reviews and prepares documents for digital scanning according to established procedures.
- Inputs (Scans) documents and indexes information into the document imaging system.
- Provides quality assurance by reviewing documents and indexing values for accuracy, legibility, and other key considerations.
- Reviews and screens documents submitted by other staff.
- Maintains batches of scanned documents as required by policies and procedures.
- Trains new employees on the document imaging system.
- Serves as resource for internal user with basic questions and issues.
- Contributes to the maintenance of process and workflow documentation, standards, policies, and procedures.
- As requested, provides reports on document imaging activities and issues.
- Works with external resources to resolve technical and operational issues.
- Supports other team members in meeting department goals and deadlines.
- Prepares scanned and quality reviewed documents for destruction per policies.
- Assists Customer & Branch Support team with calls and tasks as needed.
- Perform other work-related duties as assigned by supervisor.
- Answers inquiries and provides information to customers on various accounts, product information and banking services.
- Perform a variety of bookkeeping department clerical duties, such as bank statements, signature verification, etc.
- Performs proof department duties such as processing work on a proof machine, balancing transactions, etc.
- Log incoming calls - submits reports weekly to the Department Manager
- Works within time critical constraints to meet daily deadlines.
- Excellent verbal and written communication skills.
- Ability to work independently.
- Excellent organizational and follow-up skills with great attention to detail.
- Ability to keep information confidential.
- Ability to exercise integrity and discretion.
- Should have a good working knowledge of scanning hardware and software or the ability to learn quickly.
- Interpersonal skills to represent the bank positively in dealing with customer calls; ability to communicate well with many kinds of people.
- Must use specialized banking knowledge and personal judgment to give information to customers; must be well versed in all products offered by Gulf Coast Bank
- High School Diploma or equivalent required
- 1 year of office work experience required.
- Banking experience strongly preferred.
Performance Measurements:
Performance will be measured by the ability to complete projects accurately and timely, meeting standards set for department, and by monitoring the accuracy of scanning and indexing documents.
