Job Description

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

Will serve as the primary assistant to the Chief Operations Officer/Wrap Around Coordinator (COO). Responsible for organizing and filing administrative correspondence and maintaining Wrap Around Program administrative files. Maintain COO’s calendar of appointments. Ensure that Wrap Around Program complies and documents all notes in our electronic health record (EHR) system. Ensure that all billing and recording functions are conducted in compliance with all ethical and legal standards. Set up any special meetings as directed by COO. Responsible for answering the telephone and directing calls and clients; opening COO’s mail and assisting with all correspondence. Responsible for monthly calendar. Assist with organization of special events. All other duties as assigned by the COO. Maintain confidentiality for all information regarding clients, staff, physicians, and Guidance Center of Lea County (GCLC) obtained as a result of employment at GCLC.

Participate in development of Safety Plans; Safety, Emotions, Loss and Future (SELF) Care Plan and participate in Community Meetings. View all clients through the trauma lens of “What has happened to you?” rather than “What is wrong with you?”. Staff problem-solve using the SELF Tool of Sanctuary.

LEVEL AND DEGREE OF SUPERVISION:

Supervised by the COO/Wrap Around Coordinator. Participation in general staff meetings and team meetings. Expected to be highly self-directed and possess strong organizational skills.

QUALIFICATIONS REQUIRED:

Completion of secretarial science course preferred. High School diploma or GED required. Preference given to applicant with previous secretarial or office experience. Working knowledge of word processing, Excel. Bilingual (Spanish/English) preferred, but not required. Must be personable with an ability to work in high stress environment.

CONDITIONS OF WORK:

Hiring and promotion will be accomplished in compliance with GCLC's personnel policies and procedures. This position is non-exempt under the Fair Labor Standards Act and requires 40 hours per week, generally Monday through Friday. Hours of day may vary according to need. Travel is required of employees for delivery of services, training, or conferences. Personal transportation is mandatory.
