Job Description

Reporting directly to a C-Level executive, the Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the executive. The Executive Assistant also serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Compensation: $40-$70K based on experience. The compensation package includes stock options and bonuses.

Responsibilities:

  • Assist with the drafting and reviewing of legal documents
  • Monitor and ensure compliance with state and federal regulations
  • Record and store client information
  • Draft correspondence and documents
  • Manages and maintains executives' schedules
  • cancel and confirm meetings, conferences, appointments, rolls calls and zoom meetings, etc
  • Ensures the executive is briefed on the daily schedule and has all agendas and documents
  • Perform other duties and projects as assigned
  • Helps complete various filings for the business
  • Prioritizes workload by setting appropriate deadlines
  • Conducts research, compiles data, and prepares papers for consideration and presentation
  • Attends meetings and records minutes.
  • Ensures confidentiality and controls access to sensitive information
  • Acts as liaison to other executives and staff members
  • Maintaining the current filing and database system, and looking for ways to improve current systems

Skills:

  • Previous experience assisting high-level executive is required
  • Excellent verbal and written communication skills are required
  • Familiarity with financial documents and investment banking is preferred
  • Familiarity with legal documents and/ or paralegal is preferred
  • Familiarity with publicly traded operations is preferred
  • Sales experience is a plus

Job Qualifications:

  • Education: bachelor’s degree and or MBA
  • Experience: 2-6 years of related experience; or equivalent combination of education and experience

 

Computer proficiency with MAC, particularly with the Microsoft Office Suite, including Outlook, Word, Excel, and Adobe Acrobat.

This position works from an office.
