Part-Time Receptionist

Job Summary

Under the direct supervision of the Site Coordinator, performs receptionist, secretarial, clerical duties, and some food preparation duties. This consists of receiving calls, greeting visitors, preparing correspondence, ordering supplies, collecting, verifying, and disseminating documents and information. Duties may also include assisting with meal preparation, clean up, dishwashing, and follows all guidelines set forth by CACFP. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

Essential Job Functions

· Attend and participate in pre-service, in-service, staff meetings, conferences, training sessions, and workshops as required by DHS Licensing, Federal Performance Standards or as assigned by the Head Start Director.

· Will assist Site Coordinator in daily operational tasks of campus/staff.

· Enter Health Trackers for the campus as requested.

· Receive incoming calls for Head Start and Early Head Start program’s administrative offices.

· Greet and assist visitors, employees, vendors, parents, and children.

· Order supplies, verify purchase orders, and monitor inventory.

· Receive incoming mail, maintain a log of all agency incoming calls, and assist in copying as requested.

· Coordinate and maintain required record keeping as requested in the Head Start/Early Head Start Program.

· Maintain office coverage as assigned and unless otherwise directed.

· Collect and prepare CACFP monthly claims as assigned and with approval of Health Services Manager.

· Assists in the coordination of and implementation of emergency drills for the building.

· Record and submit non-federal share match (in-kind) to be done weekly for monthly reporting.

· Promote school readiness as developmentally appropriate in the program served.

· Maintain communication with centers and buses as needed.

· Maintain appearance of administrative office in general.

· Demonstrate familiarity with employment policies, performance standards, work plan and objectives of the agency.

· Maintain congenial and respectful relations with staff, children, families and community.

· Maintain objectives and professional standards; must be a reliable employee with attendance, timeliness, and attitude to provide a positive and consistent relationship with the children and families served.

· Demonstrate commitment to mission, vision, and values in the performance of daily routines; model appropriate behavior; and provide direction to volunteers, substitutes, and floaters as needed.

· Keep current and accurate records.

· Maintain confidentiality in regards to staff and family information.

· May assist in the classroom for short periods of time to relieve classroom staff, as requested by Site Coordinator.

· Operates various kitchen equipment and assists with meal preparation when needed or requested.

· Follows proper food safety and sanitation guidelines.

· Informs Kitchen Coordinator and Site Coordinator of all inspections conducted by the state and DHS.

· After each inspection, follows up with corrective action(s) set forth by the Kitchen Coordinator.

· Follows the daily and weekly cleaning schedule set forth by the Site Coordinator.

· Documents and reports to the Kitchen Coordinator food waste & loss.

· Informs Kitchen Coordinator of any food or supply shortages.

· Prepares classroom carts at designated campus with necessary meal components, appropriate quantities of food, utensils, etc. and delivers to classrooms.

· May assist with storing groceries in proper storage areas when received.

· Assists with food deliveries, field trips, and extra food events as needed.

· Calculates food quantities needed for each classroom.

· Ensures proper temperatures are maintained during storage and transporting.

· Turns in a monthly milk inventory to the Kitchen Coordinator.

· Assists where needed to ensure all meals are delivered on time and in a safe manner.

· Prepares classroom carts at designated campus with necessary meal components, appropriate quantities of food, utensils, etc. and delivers to classrooms.

· Adjusts designated campus classroom carts for documented special dietary needs requests when applicable.

· Retrieves food carts from classrooms following the meal.

· Calls in the lunch count to the main kitchen.

· Fulfill role as mandated reporter as stated in Child Abuse and Neglect Policy.

· Be a contributory team member in a positive/productive manner

· Communicate effectively with staff, families, children, and public using the phone and in face-to-face, one-to-one, and group settings.

· Comprehend, analyze, and make inferences and references from written material.

· Commits to always act in the best interest of the agency.

· Presents a welcoming environment to the people we serve.

· Must complete all mandatory and required trainings, on-time, upon orientation and annually thereafter.

· Performs other program-related assignments as designated by ______________ (Site Coordinator).

Knowledge and Skills

· Produce written documentation with clearly organized thoughts using proper sentence construction, punctuation, and grammar.

· Must be able to communicate both written and orally.

· Ability to read, interpret and implement program guidelines effectively and efficiently.

· Ability to follow oral and written instructions with ability to read, interpret and present information efficiently and effectively.

· Computer skills in word processing, spreadsheet, and database management software.

· Interpersonal skills necessary to maintain satisfactory working relationships in dealing with the public, other programs, and community partners.

· Can articulate and model the mission, vision, and values of the organization.

· Ability to communicate effectively verbally and in writing both internally and externally.

· Must be task and detail-oriented.


· Minimum of High school diploma or GED equivalent required.

· One year office experience preferred.

· Post high school secretarial courses preferred; MS Word and Excel a plus.

· Primarily an office position with some kitchen and classroom duties when needed.

· Must receive CACFP training on annual basis and/or as needed.

· Must obtain a current food handler’s permit/license within 30 days.

· May travel to other locations to deliver or obtain information; exposure to normal traffic hazards.

· May require some stooping, bending, standing, and lifting up to 50 pounds.

· Must be able to drive a private or agency vehicle and possess a valid driver’s license, current vehicle insurance and pass a MVR.

Supervisory Relationships

Works under the direct supervision of the Site Coordinator. Works collaboratively with the Head Start Management Team and faculty.
