Job Description

The Administrative Assistant helps conduct the smooth operation of a fast-paced, technologically advanced and friendly Financial Planning Firm. This individual must have the ability to work autonomously, as well as with a team, to ensure the successful execution of tasks and projects. The efficiency and responsiveness of this position is directly correlated to the success of our firm.

The Administrative Assistant handles most of the day-to-day business demands of the practice, so the financial advisors can concentrate on asset management, appointments and planning for our clients. The expectation is this person will be one of the "go-to" individuals for all aspects of back-office business operations. Key to this position is the ability to manage and prioritize tasks while bringing them to resolution as quickly and effectively as possible.

Responsibilities:

  • Handle phone calls and assist with client requests
  • Schedule meetings per client and financial advisor requests
  • Prepare paperwork needed by financial advisors in advance of client meetings
  • Greet clients and visitors
  • Document client interactions and services in firm's CRM system
  • Process new business paperwork, checks and transactions in a timely fashion
  • Maintain documents in firm's digital retention system
  • Ensure compliance guidelines are being followed and documented as required
  • Manage firm's social media, printed and email marketing communications.
  • Order office supplies and vendor supplies
  • Other projects and duties as assigned

Qualifications:

  • Positive attitude and sincere willingness to constantly learn and grow
  • 1 years worth of experience in office administration
  • Effective communication with clients and co-workers
  • Ability to prioritize and multitask
  • Flawless attention to detail and accuracy
  • Self-motivated with ability to work well independently and under direction
  • Willingness to self-teach, given appropriate resources
  • Series 7 Securities License or willingness to earn license within first year (with firm support)
  • Reliable transportation to and from location
