STRATEGIC OPERATIONS COORDINATOR - w/ data analytics experience and people management skills

The Strategic Operations Unit focuses on designing and documenting processes, developing strategies for process improvements, implementing related interim and long-term solutions, tracking and reporting results, as well as troubleshooting daily operational challenges. It provides infrastructural support to all direct customer service units, facilitating their communication and integration into a cohesive system to gain knowledge of best practices, leverage expertise, and enable more fluid connections / processes.


The Strategic Operations Coordinator (SOC) is a key support to the program’s management team, focuses on effective strategy implementations within daily operations. Outside of the assigned program, the SOC also works on Grant Associates (GA) corporate / cross-program initiatives, coordinated by the GA's Strategic Operations Director and/or other members of the GA corporate management. SOC position does not have direct supervisory responsibilities. The SOC combines a variety of team-based and individually managed projects which particularly include providing leadership and hands-on support in a variety of areas. 


Strategic Project Management
  • Works directly with the Management Team to develop operating plans, pull reports, conduct analyses, and otherwise provide any data needed (on a consistent and ad-hoc basis) to assist in assessing program / staff performance, or initiative outcomes, as well as support program and departmental planning
  • Provides feasibility / capacity studies on the business system, covering operations and functions of the program
  • Primary operational liaison between his/her program and GA Corporate, working alongside other SOCs on program integration, best-practice sharing and process standardization across GA contracts
  • Primary operational liaison between the program and the funder – coordinates program-specific efforts and outcomes under funder driven initiatives
Compliance and Quality Assurance (QA)
  • Provides expert knowledge and guidance on program-applicable policies and their ground-level operation implementation
  • Conducts audits on timeliness, accuracy, integrity and security of program’s data records and related outcome credit claims – reconciles potential discrepancies sharing the findings and recommendations with Management Team
  • Facilitates communication between the program, GA’s corporate QA and validation units – leader on all resulting local tasks / efforts
  • Facilitates external audits and inquiries within program’s processes, procedures, and related data management
  • Operations
  • Regularly monitors progress towards goals across all program’s teams – collects, processes, and reports related information, accordingly
  • Performs data-based and in-person reviews of functions, processes, and activities to ensure effectiveness, efficiency, and continuous improvement within service delivery
  • Troubleshoots operational problems, as needed – particular emphasis on resolving issues within cross-unit and/or cross-program process flow
  • Coordinates and processes customers’ feedback on quality of program’s services
  • Designs and leads implementations of new processes to enhance and coordinate daily operations, facilitate communication and improve performance across all teams
  • Provides staff with training and retraining on program’s operations
  • Prepares program-related presentations for a variety of purposes and audiences
System Administration
  • Support for all program’s external and internal (SF) database user interfaces – designs staff access to the systems, monitors resulting activity, and troubleshoots system performance issues (coordinating IT support where necessary)
  • Configures GA internal database (Salesforce) to accurately capture essential program performance data and optimizes availability of key data elements to particular teams and staffers – develops dashboards and other standard reporting tools
  • Trains program staff on technology and provides technical assistance with use of respective tools
  • Bachelor’s degree required
  • Two – five years’ experience analyzing operational programs
  • Certification in Project Management, process improvement or related discipline preferred
  • High proficiency using Excel, databases and PowerPoint programs required
  • Ability to analyze and interpret new or revised process and develop a method to deliver change to organizational users
  • Demonstrated experience successfully maintaining objectivity under pressure
  • Experience using quantitative, conceptual and analytics as well as creativity to solve problems
  • Proven experience meeting deadlines while attending to detail
  • Strong talent in designing and solving operational and process improvements
  • Experience and ability to be flexible adapt to changing situations in a fast-paced environment
  • Proven ability to consistently achieve goals and meet deadlines with minimum supervision
  • Demonstrated ability to work in teams or alone in developing and teaching a process
  • Experience with public speaking and presenting to various groups of people
  • Proven skills in developing positive relationships with others and a flexible disposition to change in a fast-paced environment
  • Ability to explain and support policies and systems processes and infrastructure.
  • Experience in training or education
  • Preference may be given to those with a communication or marketing background
  • Strong ability to work positively in supporting groups and individuals
