The Admin Assistant 2 supports departmental staff in a variety of clerical support work, in a high-volume work environment while maintaining a professional manner with a customer service focus. This position acts as a resource for training of peers and team procedure development.

This role is located in Seattle, WA and requires at least 3 days in-office.

Pay Range and Benefits:

What you'll be focused on:
  • Performs administrative work for adjusters, including entering and assigning new claims, opening reserves, and creating and updating items assigned to adjusters in system(s).
  • Process indemnity and expense payments on behalf of adjusters.
  • Process and resolve claims submitted for towing reimbursement and glass repair/replacement.
  • Capable of performing most Admin responsibilities and tasks.
  • Review, prepare, create, and/or send letters, reports, and forms. Prepare outgoing mail for CSU, Admin, and Claims departments.
  • Open, sort, and scan all incoming mail and attach to the appropriate claims or policies in the system. Create and assign tasks as needed.
  • Responsible for electronic and physical routing documents, faxing and photocopying assignments.
  • Contact vendors to obtain W-9 forms, maintain received documents and records, and update information in system.
  • Research and process - including voiding and reissuing - stale-dated claim checks.
  • Complete work exhibiting the behaviors of our core values: forward thinking, relationships, empathy, dependability, and integrity.
  • Act as a backup in the mailroom.
  • Provide training to new team members and assist with supplementing team knowledge and skills.
  • Assist with the creation and maintenance of job aides, procedure manuals, and training materials.
  • Assist with projects and special assignments as needed and other duties as required.
  • Ability to work in a hybrid working environment, with several days in the office and several days remote, unless an ADA accommodation is needed.
  • Other duties as assigned.

Experience we look for:
  • High school diploma or equivalent, and at least three years of customer service and/or administrative experience.
  • Proficient PC skills (including Microsoft Office suite), with the ability to learn new software.
  • Ability to understand priorities and accordingly plan, organize, and manage multiple tasks to meet deadlines.
  • Strong self-motivation to work independently while maintaining productive relationships and coordinating with team members
  • Strong customer service orientation to support internal and external customers.
  • Excellent verbal and written skills for effective communication.
  • Ability to deal with confidential information and issues using discretion and judgment.
