Operations Support Specialist (Contract Opportunity)

Job Description
Reports to: Operations Manager

Job Summary: The Operations Support Specialist performs administrative, technical, and/or specialized support to the E,F&I divisions. He/She will assist in organizing and executing critical day to day service driven functions and priorities ensuring daily operational activities are handled accurately and efficiently.

Duties and Responsibilities: Core duties and responsibilities include the following.
Primary Functions:

 Material Support:
-Updating database with material packing slips from warehouse and installers
-Supplying copies of packing slips to customers upon request and updating database

 Project Support:
-Updating database with project related documents
-End of Job documentation/package creation and submission
-Providing warranty and insurance documents upon request
-Creation and printing of all labels
-AC Subcontract assistance to electricians and engineers
 Miscellaneous: - Schedule appointments and makes arrangements for meetings, conferences and training

General Functions:
 Ensuring that communication between departments is ongoing and utilized to maintain an environment of continuous improvement.
 Maintain constant communication with management, staff, and vendors to ensure proper operations of the organization
 Manage timely data collection to update operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service

Knowledge, Skills and Abilities:
 Excellent computer skills and proficient MS Office Suite (particularly Excel)
 Excellent organizational skills
 Ability to understand and effectively communicate with others.
 Ability to multitask under high stress conditions
 Professional attitude and work well with others
 Open to direction and Collaborative work style and commitment to get the job done

Credentials and Experience:
 Office experience required
 Minimum HS Diploma

 College education preferred but not required

Physical Demands:
 The employee will be required to use his/her hands 90% of the time to type, write, and handle paperwork.
 The employee must be able to distinguish between different colors.
 The employee will be possibly riding in a company vehicle to and from customer sites, sitting at a desk 95% of the time with walking between offices and other work areas from time to time and working in tight spaces that include computer network infrastructure.
 The employee may, from time to time, be required to lift weight (i.e., paper boxes and installation materials) up to 25 pounds.
 Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Close vision (clear vision at 20 inches or less) is generally required, as the employee will be working at a computer, working with files & paperwork and working on specialized computer & networking devices.

 While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. Work Environment:
 The work environment will consist of a business office setting. That means a clean, air-conditioned, setting including moderate noise levels (i.e., computers and printers, phones and light traffic).

 The noise level in the work environment is usually moderate.

Special Requirements:
 Due to the nature of our Customers’ requirements, work schedules and hours of operation can be dynamic. The Operations Support Specialist may at times be asked to adjust to varying work schedules, which may include overtime.
 The Operations Support Specialist will be cross-trained in other Operations Department functions and at times be required to perform other tasks duties outside of those listed above
