LOCATION: Midtown, NY
HOURS: 8:30 AM – 6:00 PM
COMPENSATION: (DOE) + Discretionary Bonus + Benefits
BACHELORS DEGREE: Required

Our client is seeking an energetic and driven Office Manager/Administrative Receptionist to join their team. This individual will act as a general Jack or Jill of all trades for the office. The ideal candidate is professional, warm, proactive, and has a “no task is too big or too small” mentality. This role is also the receptionist and the first line of communication with investors, employees and other visitors, so the candidate must have a client service mindset and be comfortable with those duties.

RESPONSIBILITIES OF THE OFFICE MANAGER/ADMINISTRATIVE RECEPTIONIST:
- Greet visitors and escort to conference rooms, offer refreshment
- Answer phone calls in a professional manner, take messages or assist directly when appropriate
- Proactively manage conference room booking, and ensure requirements for each meeting are taken care of ahead of time (refreshment service, technology is working properly, etc.)
- Maintain conference space
- Provide administrative support to US Team (12 Employees) with regard to travel coordination and expense reporting
- Process expense reports for US Team and track submissions from the admin team to ensure deadlines are met
- Assist with coordination of internal and external meetings
- Manage daily mail and deliveries (outgoing) and distribute incoming to appropriate team members
- Ensure IT for common spaces is working properly and open tickets for issues, maintain tidiness of IT Storage Room
- Maintain the pantry and supply room, ensure properly stocked
- Work with building contacts to resolve issues
- Vendor management for office related items
- Support the Investor Relations function (maintain CRM)
- Work collaboratively with other team members on ad hoc projects
- Provide back up support to other assistants, as needed

REQUIREMENTS OF THE OFFICE MANAGER/ADMINISTRATIVE RECEPTIONIST:
- Bachelor’s Degree Required
- 2+ years of experience in an administrative capacity
- Strong computer skills - Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
- Excellent verbal and written communication skills
- A high degree of professionalism, initiative and independence
- Excellent time management, organizational and interpersonal skills
- Flexible team player with can do attitude
- Verification of identity, education, prior employment, and references may be required
