POSITION: Executive Assistant to Partners
LOCATION: Chicago IL, (Monday-Thursday Onsite, Fridays Remote)
HOURS: 8:30am – 5:30pm + flexibility
COMPENSATION: DOE + Discretionary Bonus + Benefits
BACHELOR’S DEGREE: Required

Our client, a healthcare-focused lower middle-market private equity firm, is seeking an Executive Assistant to join its growing team. You will manage mostly business-related tasks for the firm partners with some time spent assisting in personal matters, as necessary. The successful candidate will function well in a “hands-on,” entrepreneurial environment and be willing to roll up his or her sleeves to get things done. This professional will be able to adapt easily to shifting priorities, be flexible and resilient, and not rigid in his or her thinking.
Responsibilities of the Executive Assistant to Partners:
-Provides wide range of complex office administration and support to the firm’s partners using
independent judgment and initiative.
-Reviews, assesses, routes, answers and monitors follow up action steps on correspondence (phone calls, emails).
- Manage CRM database on behalf of the firm.
-Answers and routes phone calls, mail and email messages and may handle wide range of information dissemination.
-Filing and retrieving corporate records, documents, and reports.
-Preparing documents and making any other necessary arrangements for board, committee, and executive
-Coordinates events, including conferences, dinners, etc.
-Greeting visitors, taking cold calls and deciding if they should be able to meet with executives.
-Manages complex calendars, arranges for meetings, appointments and travel arrangements.
-Maintain confidentiality of highly sensitive information.
-Reviewing and submitting partner expense reports.
-Ad hoc projects as needed.
Requirements of the Executive Assistant to Partners:
-Proven experience as an executive assistant or other relevant administrative support experience.
-Ideal candidates will have at least 5-10 years of experience.
-In-depth understanding of entire MS Office suite and CRM systems.
-Ability to organize a daily workload by priorities.
-Must be able to meet deadlines in a fast-paced quickly changing environment.
-A proactive approach to problem-solving with strong decision-making skills.
-Professional level verbal and written communications skills.
-Willingness to be available outside of business hours as necessary.
-Cheerful spirit and good sense of humor.
-Patient and flexible.
-Verification of identity, education, prior employment, and references may be required.
