Job Description

The Global Research Institute at William & Mary is seeking a Senior Fiscal Coordinator who will be responsible for managing day-to-day functions at GRI, all of which are essential to the success of the Institute and its projects. Under the direction of GRI’s Director of Finance and Administration, this position works closely with GRI staff, project directors, and counterparts throughout the University on a daily basis. With minimal supervision, the incumbent establishes administrative and operational priorities, emphasizing timeliness, accuracy, compliance with University policies and procedures, and high quality customer service.

Primary duties include but are not limited to:

• Managing and executing administrative and fiscal actions on behalf of Institute staff and project directors, including the preparation of all standard forms (e.g. vendor payment request forms, business meal forms, W&M Foundation form, journal vouchers), management and reconciliation of the Small Purchase Charge Card (SPCC), assistance with the annual budget and tracking of the various GRI financial commitments, and coordination and submission of signature authority cards;

• Providing direction and leadership to ensure transactions, including travel and business meal reimbursements and p-card purchases, comply with University policies and procedures and are processed in a timely and accurate manner.

• Assisting the Director of Finance & Administration in reconciling project-specific budgets including status reports and financial statements;

• Serving as primary Contract Administrator for GRI, and liaison to Procurement Services; provides guidance to GRI and project staff, and recommends/coordinates procurement actions; identifies cost effective alternatives;

• Participating in the resolution of operating problems. Identifies and pursues ways to improve the efficiency and effectiveness of administrative practices used by students, faculty, visitors and staff.

• Administering GRI’s internal appointment process for affiliates of the Institute;

• Assisting the Director of Finance and Administration with recruitment and hiring activities as needed.

• Monitoring the Institute’s fixed assets, IT inventory and provides assistance for all IT-related requests.

REQUIRED QUALIFICATIONS:

• Bachelor’s degree or equivalent combination of education and experience.
• Supervisory experience, including hiring, coaching, training, mentoring, and overall performance management.
• Demonstrated ability to develop and communicate clear goals and expectations.
• Experience overseeing and executing timely and accurate administrative support services.
• Working knowledge of general office practices and procedures.
• Proficiency with office productivity software, preferably Microsoft Excel, Word, and Outlook.
• Knowledge of general accounting practices and procedures.
• Working knowledge of grant and contract administration.
• Experience tracking and projecting expenditures.
• Ability to manage multiple projects simultaneously and to prioritize activities to meet milestones and deadlines.
• Knowledge of and experience working with procurement & purchasing policies and procedures.
• High level of attention to detail.
• Excellent written and oral communications skills.
• Ability to interpret and apply, communicate, and monitor compliance with organizational, state, and federal guidelines, policies and procedures.

PREFERRED QUALIFICATIONS:

• Associate’s or a bachelor’s degree from an accredited institution
• Experience working in an academic setting.
• Experience supporting human resources activities, including hiring and recruitment
• Experience with Banner and Discoverer
• Experience with William & Mary online administrative applications that support fiscal, human resources, payroll, and procurement transactions
