Purchase Order Administrator
Gemma Power Systems is seeking a Purchase Order Administrator to join our team.
The Purchase Order Administrator works in conjunction with the Project Procurement Managers to assure timely and complete deliveries from a supplier of all deliverables (submittals, hardware, services, and warranty activity).
The efforts of the Purchase Order Administrator include the expediting of documentation and material, which often has complications introduced as a project evolves (e.g. supplier delays, change orders, logistics issues, GPS schedule changes, etc.). The activities of the Purchase Order Administration work vary with the challenges and evolution of a project and generally includes significant efforts that were not anticipated. Other responsibilities that are not directly a deliverable of the suppliers include efforts to assist the project teams in managing internal efforts that are required to assure that GPS meets its contractual and internal obligations in a timely manner. Examples include:
- Review of supplier invoicing to assure conformance with claimed progress
- Consolidation and management of consumable and spare part lists
- Review and confirmation of supplier progress to provide input to accounting for accruals
- Coordination of field service
- Assuring delivery details and schedules are properly coordinated with site including leading the associated meetings
- Issuance of a delivery “look ahead report” for site planning
- Responses to specific site requests
This role requires an individual who can proceed with limited data and direction, and proactively develop plans on behalf of, or in concert with, the procurement manager. One must be a proactive, creative, self-starter.
