Job Description

JOB SUMMARY

While maintaining strict confidentiality at all times, this position is responsible for providing administrative support related to recruiting, hiring and terminating employees, administering employee files and records.

ROLES AND RESPONSIBILITIES

  • Participate in preparing job descriptions and offer letters.
  • Coordinate pre-employment drug screening and/or other pre-employment screenings, as may be required.
  • Conduct new hire orientation including thorough examination of completed employment forms for accuracy, reviewing standard policies, procedures and employee handbook, preparing payroll forms and completing benefits enrollment, coordinate with IT department email address and technology requirements, and preparing work area.
  • Manage personnel paperwork for new hires, terminations, performance reviews, and employee status changes.
  • Process employee termination paperwork including cancellation of benefits, recovery of company property, and arranging for final payroll distribution.
  • Maintain accurate active and inactive employee files and records in compliance with all government regulations.
  • Assist with ensuring legal compliance with federal and state regulations relative to employment, including but not limited to proper job classification, written job descriptions, maintenance and retention of employee records and files, and maintenance of applicant, hiring, training and termination logs as required by affirmative action plans and policies.
  • Assist with preparing proper, accurate, and timely responses to insurance claims.
  • Assist with preparing case documentation for personnel-related hearings and investigations.
  • Assist HR Manager and executives with other duties as assigned.

QUALIFICATIONS

  • Undergraduate degree with emphasis in Human Resources or at least five (5) years of experience in an office environment providing support for human resources functions preferred.
  • Understanding of federal and state labor laws and regulations including Affirmative Action, Equal Opportunity Employment, exempt and non-exempt employee classifications and how to apply them.
  • Excellent interpersonal skills, including ability to interact with employees at all levels, responding to employee questions and concerns.
  • Proven ability to exercise discretion, diplomacy, good judgment and respect confidentiality.
  • Excellent oral and written communication skills.
  • Highly detailed oriented, ability to organize and prioritize and self-monitor work, problem solve, multi-task, make decisions and meet deadlines.
  • Mastery of Microsoft Office and Excel.
  • Ability to adapt to changing schedules and demands.
