Job Description

The Sr. Operations Manager is a leadership position responsible for all areas of Central Operations. Plans, directs, supervises and evaluates workflow to meet bank strategic objectives, service accuracy and processing deadlines. Mentors, coaches and evaluates junior staff in Central Operations. Works with other departments such as IT, Branches, Lending, Accounting, and Treasury Management to ensure an excellent level of internal and external customer service. Identifies, monitors, and implements appropriate risk management practices and controls to prevent losses. Adheres to high ethical standards consistent with the Bank’s practices and all Regulatory Compliance requirements.

Essential Job Functions

Operations:

  • Manage Central Operations functions of the bank, including the operations for treasury management and provides direct oversight to managers.
  • Responsible for IRA administration, escheatment, non-deposit items, outgoing wires, ACH support, transit adjustment, research, branch settlement, correspondent bank reconcilement, signature card maintenance, collections, deposit ratings, attachments, levies, subpoenas, certifications, etc.
  • Provides required reporting to keep the Executive Management apprised of Operational activities; makes presentations and recommendations to improve customer experience, reduce cost, generate income, create efficiencies, and/or mitigate risks.
  • Recommend, develop, and update policy and procedures.
  • Develop programs, products and training to support the Bank’s growing product and services offering.
  • Partners with other departments, vendors, agencies, etc. to resolve customer service issues. Follows up with resolution of problems to ensure timely response and customer satisfaction.
  • Proactively participate in Bank strategy and automation initiatives, and provide recommendations to support the bank’s short and long terms strategies.
  • Plans and schedules activities related to operations and coordinates with related departments; ensures operational schedules are met.
  • Ensures compliance with all applicable Federal, State and regulatory laws and policies, and internal operating policies, procedures and audit standards. Responsible for responding to audit exceptions. Ensures appropriate risk mitigation are in place to eliminate repeat exceptions. 
  • Maintain knowledge of all products and services offered. Keep abreast of new products and services as well as changes to existing products and services, industry trends in technology on future product demands, laws and regulations affecting banking operations.
  • Oversee treasury management  platform and upgrades, including testing, training, documentation, communication to customers and all departments. 
  • Proactively maintain and deploy improvement of process and/or products.
  • Develop and maintain capacity models and provide recommendations to senior management. 
  • Works closely with IT and Reporting partners to maintain product responsibilities for payable (ACH, wires, positive pay, controlled disbursement, etc.).
  • Develop and monitor reporting to ensure transactional files are process successfully.
  • Establishes and implements performance goals for the staff; cross training mechanism to help develop and retain staff.

Treasury and Product Management

  • Maintain knowledge of all products and services offered. Keep abreast of new products and services as well as changes to existing products and services, industry trends in technology on future product demands, laws and regulations affecting banking operations.

Secondary Job Functions

  • Advise management on potential improvements of process and/or products.
  • Perform other duties and responsibilities as required or assigned by Manager.
  • Comply with all BSA and other Bank’s training and procedures.

Qualifications/Requirements

  • Minimum seven years of operations experience in a similar position, with five of those years in management. Commercial banking experience required. 
  • Thorough knowledge of bank operations, systems (FIS/Horizon), and product and services.
  • Knowledge of Treasury /Cash Management experience with product and services preferred.

Education:

Bachelor’s degree  in general business or finance  or related on the job experience required.

AAP (Accredited ACH Professional) Certification preferred.

Knowledge:

Knowledge of risk with banking operations and payment systems. 

Knowledge of applicable regulatory requirements.

Knowledge of business and management principles.

Knowledge with Audit standards and Payment systems requirements (Fedwire, Swift, Visa, etc.)

Knowledge and experienced in review and implementation of banking systems with knowledge in support of system/bank conversions to improve efficiency.

Knowledge of financial and budget process.

Thorough understanding and practical application of applicable Federal and State laws and regulations.

Strong project management skills. Excellent verbal and written communication skills.

Excellent interpersonal and verbal and written communication skills.

Seasoned problem-solving, analytical and decision-making skills.

The ability to:

Apply general rules to specific problems to produce answers that make sense.

Identify and implement automation through technology, that results in efficiencies and/or measurable cost savings to the Bank.

Ability to effectively interact with all Bank departments and levels of management and employees.

Give full attention to what other people are saying, understanding the points being made, asking questions as appropriate.

Identify deficiencies, create/improve procedures, policies and practices to improve operational efficiency of the Bank.
