Job Summary:
Working in our Master of Physician Assistant Studies Program, located in Lebanon, NH, the Administrative Assistant performs a wide variety of administrative tasks related to the Master of Physician Assistant Studies program. To support the Director, staff, and faculty in record-keeping, daily communication, and program operations as needed.
This is a non-exempt position and is Full Time with a Part-Time option. As a non-exempt employee, the schedule may vary based on the number of hours needed to meet the job responsibilities. The individual holding this position may need to be available early morning, evening, and weekends to meet the needs of the department and the University. Any overtime hours must be pre-approved by the Director.
Responsibilities and Expectations:
- Coordinate,initiate, prepare, process, and/or monitor administrative/financial/operational correspondence, forms, records, reports, schedules, clinical training and orientation materials and other documents, ensuring timely and accurate completion of documents by other department/University students, faculty or staff, or individuals external to the University.
- Assist with the various day-to-day clerical and administrative functions pertaining to all phases of the MPAS program, including uploading questions into the exam software and prepare the system for online examinations in collaboration with faculty members; student rotations; preceptor, faculty, and student evaluations; and completion of the required rotations for students for graduation.
- Organize and maintain files and records, frequently involving cross-filing/cross-reference systems.
- Monitor the Castle Branch system to ensure that students have achieved full compliance with admission screenings as well as refresh screenings prior to the clinical year.
- Compile a variety of information from both manual and computerized records and files for regular and special reports and in response to specific requests by supervisor, other staff and/or faculty members.
- Confer regularly with immediate supervisor, office manager, other department/University personnel, and/or various firms/organizations/individuals external to the University to plan and coordinate activities, exchange information, and resolve problems.
- Assist with preparation and monitoring clinical affiliation agreements and paperwork required for rotations including comprehensive filling system including letters of intent, board certifications, licenses, and clinical site evaluations.
- Assist with maintaining electronic placement system data for student rotations to include up-to-date preceptor and site contact information, availability, placement, and affiliate requirements for student rotations.
- Enter and maintain student data in clinical tracking software, including rotation sites and assignments, clinical tracking, student information.
- Assist in the preparation of the ARC-PA self-study report by collecting data and presenting statistical information as instructed.
- Coordinate preparation of detailed packets to preceptors and/or clinical site contact person(s) for rotation assignments; distribute preceptor evaluations; and at end of clinical assignment, generate appreciation letters for preceptors.
- Assist with orientation, commencement, and short/long coat activities, including planning, set-up, program execution, and working with other staff.
- Proctor exams.
- Assist with room set up/break down, including camera set-up.
- Assist with trouble-shooting office equipment or IT equipment.
- Other duties as assigned.
Experience and Qualifications:
The skills and abilities that you bring to this position will include:
- Previous office working experience of three to five years is preferred.
- Good administrative, clerical, organizational, and communication skills is expected.
- A focus on customer service is very important, as is the commitment to assisting our students and faculty in a personable and professional manner.
- Have a thorough working knowledge of all Microsoft Office products including Outlook, Excel and Word.
- Previous experience working with databases is strongly preferred.

Typical Schedule:
Monday-Friday 7:45am to 4:45pm
