Disaster Recovery Regional Administrative Assistant

Position Summary: Perform a variety of routine and complex administrative, technical, and professional tasks in support of the hurricane recovery efforts of the Florida Conference. An administrative assistant must be professional, polite, and responsive.

able to learn and maintain a financial accounting system with accurate and timely documentation

self-starter who takes initiative and is able to work without close supervision on assigned duties; willing to seek and accept supervision as needed
unquestioned confidentiality with sensitive financial and personal information
possess no outside business interest that may conflict with the client or the organization’s goals and objectives
demonstrate helpful interpersonal skills, such as:
genuine care and respect for individuals, families, and communities served
awareness of the impact of the disaster on the community, the family, and the individual
effective listening and interviewing skills
cultural competence relative to the population served
ability to recognize and draw upon client strengths
sensitivity to the needs of individuals and families in crisis
ability to maintain appropriate service boundaries
self-awareness
active membership in a United Methodist Church is preferred but not required.
Essential Job Functions
support the work of the regional team leader, volunteer and construction coordinators, and disaster case managers
manage and maintain online files
generate reports, spreadsheets, and presentations
make travel arrangements and order supplies for staff
data input as needed to maintain recovery databases, scheduling, internet research, google maps, etc.
maintain communications to conference staff
take photos and videos during trainings, meetings, and visits to the impacted communities
communicate with survivors, volunteers, and external groups as needed
other duties as assigned
Working Conditions:
Constant interaction with internal and external third parties for the purpose of collecting and distributing information
Adaptability to environmental factors, including noises, odors, variable climate, etc.
Spends over 80% of time sitting; remainder of time includes walking, standing
Occasional lifting (5 - 10 lbs.) and climbing stairs
Must work cooperatively and collaboratively with colleagues, clients and other agencies involved in the recovery
