Role (Overview of the position)
Responsible for all logistics behind company fulfillment & systems implementation. Will also be supporting both the President and CEO with their workflow.
Responsibilities (Tasks Associated with the Role)
Client-centric mission - reinforce the client-centric mission with our team so that we make certain that we are moving towards our long-term outcomes.
Billing process: Manage and maintain (internal & external)
Trafficking process: Manage and maintain (for media & creative direction)
Office administrative support: Answering phones, greeting guests, presentation prep / materials, research, etc.
General communications coordinator / liaison for all media partners and clients
Drive and manage the tactical delivery of ongoing projects in the company deliverables for all company initiatives and report back to the leadership team.
Support the leadership team in executing their vision and growing the business.
Managing leadership team’s calendars and productivity, travel, and logistics.
Implementing the processes we teach and ensuring congruency; we make this look easy
Managing the creation, implementation, and support for all HR policies, processes, and documentation.
Project handoffs; once created, facilitating the implementation and management of said projects.
Helping the leadership team complete the items on their personal waterfalls.
Results (Expected Accomplishments)
We follow our company cadence and all of the targeted interactions.
Our media placements are executed as directed and performance is monitored thoroughly on a weekly / monthly / quarterly basis.
The projects we commit to are completed on time and create the desired outcome for our company and our clients.
We use the minimum effective dose systems and platforms in order to get the greatest results.
The foundational processes of our company (billing, trafficking, communication, and auditing) are up-to-date, accurate, & effective.
Requirements (Expected Proficiencies)
Ability to prioritize conflicting deadlines.
Excitement for helping businesses market their products & services to a community that needs their company’s unique offerings.
Prior demonstrated experience within an Executive Assistant role.
Strong knowledge of email, internet, Microsoft Office, Apple OS, Google Apps
Excellent attention to detail.
Motivated, energetic with a can-do attitude.
Helpful and supportive spirit. Problem solver.
Professional attitude and presentation.
High-level communication skills.
Emotionally self-regulate even during times of pressure and stress to be present for the team.
Able to consistently understand the intent and vision of the leadership team, work as a sounding board for both the President & CEO.
You will work to decrease the noise of the leadership team and be their barrier.
