Overview



Position will be responsible for the dispatching and administrative duties associated with Mechanical Service Contractor.


This position will field incoming customer request for service and then scheduling and dispatching the appropriate resource. Associated with these duties is maintaining electronic records, fielding parts orders, reviewing service reports, and preparing specific service related reports on a daily basis.



Strong general computer related skills and interfacing with a computer is required.


Good working knowledge of Excel and MS Office products is required.


Experience managing a large amount of information and the attention to detail and discipline to keep it organized is a must.



Ideal candidate will have more than 5 years experience in the mechanical service/contractor industry.


Specific Job Duties:



Qualify every request for service to establish maximum response time requirements. Communicate schedule to customer.



Inform service manager of work progress, customer relations, field personnel relations, material administration and other matters affecting service operations.



Advise service manager of customer complaints to expedite resolution ensuring and maintaining long term relationships. Communicate resolution to customer.



Determine and dispatch appropriate service representative to ensure quick and efficient resolution of problems while building and maintaining customer confidence and satisfaction. Keep the customer informed on action taken.



Dispatch service personnel to satisfy customer problems based on skills, nature of problems, location of problem and location of personnel. Effectively match technician skill level with problem while maintaining cost effectiveness.



Maintain understanding of mechanical systems in order to make appropriate decisions in scheduling all types of work (P.M., repairs, replacement, etc.)



Possess sufficient knowledge about geographical layout to make logical decisions concerning reassignment for spot calls, assignment of scheduled work, purchasing, and transfer of tools, materials, and equipment.



Build rapport and productive working relationships with internal partners, customers, vendors, and other outside contacts.



Dispatch personnel and equipment in accordance with applicable contractual agreements. Display complete understanding of components of the standard contractual agreements including services provided and terms and conditions.



Audit service reports weekly in accordance with established procedures.
