Job Description

Summary/Objective

Facilities Coordinator will be responsible for coordinating a variety of vendors and services, ensuring our day to day facility operations run smoothly, and assisting in executing small to medium facilities improvements and refresh projects. This person is a self-starter, a cool-under-pressure problem-solver and never hesitate to roll up your sleeves to get the job done. Must have special eye for detail and a knack for creative problem solving. Must take pride in making the facility both beautiful and functional, and know how important even the tiniest details are to making a space great.

Essential Functions

  • Update floor seating plans
  • Open/close work requests as assigned
  • Maintain department metrics
  • Control flow of invoices
  • Maintain office signage
  • Maintain FM software seating, employee data and leases
  • Own new hire and termination process
  • Submit document control programs, procedures, and policies
  • Track department budget to actual
  • Create and maintain employee relations post to: Newsletter; Emails; Postings; WEB
  • Verify and maintain conference room readiness
  • Issue card keys
  • Provide security reports
  • Document contracts and agreements
  • Assist with furniture orders
  • Support offsite document storage
  • Event support, procurement, set up and logistic support
  • Oversee office supplies and business cards
  • New hire seating and terminations prep and clean up
  • Reception back up

Knowledge and Skills

1. Strong communication skills both verbal and written

2. Experience using facilities ticketing tools

3. An appreciation for order with a healthy dose of flexibility

4. Excellent independent decision making skills and obsessive attention to detail

5. Excellent customer service

6. Can-do attitude and the ability to solve a wide variety of problems creatively and quickly

Education and Work Experience

1. 2-3 years of facilities operations or similar field

Work Environment

1. Small-to-large office environment

2. Safety glasses required while performing certain tasks

3. Fast paced work environment.

4. While performing the duties of this job, the employee may work near moving mechanical parts

5. The noise level in the work environment is usually moderate.

6. Exposed to a combination of normal office type environments, shop environments and manufacturing environments

7. Regularly exposed to dust, odors, oil, fumes and noise.

While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, talk or hear. Physical requirements include stooping, standing, climbing and frequent lifting of a minimum of 40 lbs. of office or facilities equipment. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
